Role Overview
We are seeking a proactive, detail-oriented Project Coordinator & Client Success Specialist to support client onboarding, campaign delivery, and cross-team operations. This role ensures every new client is set up for success, organizing assets, creating branded materials, and coordinating between departments to deliver an exceptional client experience from day one.
The ideal candidate thrives in a fast-paced, digital environment, takes pride in accuracy, and understands the importance of seamless communication and precise execution. This position blends administrative organization, creative media work, and project coordination.

Key Responsibilities1. Client Onboarding & Coordination
- Oversee onboarding for new clients, set up shared drives, folders, and systems for campaign readiness.
- Collect, organize, and upload all client assets (photos, bios, media appearances, videos).
Serve as the main point of contact during onboarding, ensuring a smooth, professional experience.
Media Kit Creation & Asset Management
Use tools such as Lovable (AI app-builder platform) and ChatGPT prompts to generate personalized, web-style media kits.
- Edit and finalize client kits, ensuring all visuals and copy meet quality standards.
Manage revisions and approvals based on client feedback.
Project & Operations Support
Maintain clear communication between internal teams through Slack, HubSpot, and Airtable.
- Track client progress, deadlines, and deliverables to ensure timely project execution.
Update and manage Airtable automations and data for accurate tracking across departments.
CRM & Workflow Management
Support and maintain client information within HubSpot CRM and Airtable databases.
- Build or refine internal SOPs and process checklists to improve efficiency.
- Provide status updates, coordinate follow-ups, and ensure smooth hand-offs between teams.
Qualifications & Skills
Technical Tools:
- HubSpot (CRM), Airtable (automations, database management)
- Google Workspace (Drive, Sheets, Docs)
- Slack (communication)
- AI-based platforms like Lovable or ChatGPT (for content and design assistance)
Soft Skills:
- Highly organized, self-directed, and dependable
- Excellent written and verbal communication (C2-level English proficiency)
- Able to manage multiple tasks, deadlines, and stakeholders simultaneously
- Detail-driven with an eye for design, branding, and presentation
Experience:
- Experience in project coordination, client success, or marketing administration
- Experience in podcast production, creative campaigns, or media coordination is a plus
Education:
- Degree not required; background in marketing, communications, or administration preferred.
