The Administrative Assistant role, an in-office position at our Braintree location, supports the efficient operation of Marketing's departmental and office functions. Ensuring accuracy, organization, and timely communication. The role requires strong organizational skills, attention to detail, and a commitment to excellent customer service.
Essential Functions:
Respond promptly and professionally to client and internal inquiries.
Research and resolve issues using available tools and resources.
Collaborate across departments to drive resolutions and process improvements.
Support project coordination, data entry, and document management.
Assist with project planning, scheduling, and logistics.
Maintain project trackers and facilitate stakeholder communication.
Develop and update departmental procedures and documentation.
Provide general administrative and operational support as needed.
Foster culture of customer service and commitment to quality care
Serve as a liaison between internal teams, vendors, and external partners.
Serve as a brand ambassador for Vitra reflecting our vision, mission, and values
Show genuine interest and compassion for the communities we serve
Support digital marketing initiatives, including Search Engine Optimization (SEO) and Search Engine Marketing (SEM), to enhance online visibility and engagement.
Manage and monitor social media platforms by scheduling posts, tracking performance, and engaging with audiences to strengthen brand presence.
Coordinate and support brand-building events, ensuring seamless execution and alignment with organizational goals.
Assist in the creation and editing of marketing materials, presentations, and promotional content.
Physical and Environmental Demands:
Works in a clean, well-lit environment with fluctuating temperatures in close proximity to others.
Requires substantial periods of repetitive work utilizing a computer, monitor, keyboard, and mouse.
Requires lifting and carrying equipment and supplies weighing up to 35 pounds; requires pushing and pulling equipment and supplies weighing up to 35 pounds; requires walking and standing; requires frequent sitting more than 75% of the workday; requires the ability to navigate stairs; requires visual acuity and manual dexterity to operate equipment.
Education, Experience and Licensure Requirements:
College Degree preferred, High school diploma or GED required
Minimum of 3-5 years of administrative experience required.
Strong organizational, multitasking, and problem-solving skills.
Excellent written and verbal communication abilities.
Experience with administrative coordination preferred.
Comfortable working independently and managing shifting priorities.
Proficiency in computer literacy.
Professional, customer-focused, and collaborative mindset.
