Executive Assistant to the President

This role is a part-time position to start, with the strong possibility of becoming a full-time position.
Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the President of our organization. The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role requires a professional demeanor, excellent phone etiquette, and a commitment to delivering outstanding customer service while maintaining confidentiality.
Duties
- Manage the President's calendar, scheduling appointments and coordinating meetings using Outlook Calendar.
- Serve as the first point of contact for all incoming calls, demonstrating professional phone etiquette.
- Coordinate and organize company events, meetings, and conferences from planning stages through execution, including venue booking, catering arrangements, and materials preparation.
- Oversee office management tasks such as filing, data entry, and maintaining organized records for easy retrieval.
- Assist with project coordination by tracking deadlines, preparing agendas, taking minutes, and following up on action items to ensure timely completion.
- Handle personal assistant responsibilities including managing personal schedules and tasks for the President when necessary.
- Support clerical duties such as proofreading documents, transcribing notes, managing office supplies inventory, and maintaining filing systems.
- Utilize office software like Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to produce professional documents and presentations.
- Use DocuSign for electronic document signing processes efficiently and securely.
- Maintain confidentiality regarding sensitive information while supporting the President in various administrative functions.
Requirements
- Proven experience as an executive assistant or in a similar administrative role supporting senior management or executives.
- Strong organizational skills with the ability to prioritize tasks effectively and work independently.
- Excellent written and verbal communication skills coupled with professional phone etiquette.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with multi-line phone systems.
- Experience with calendar management tools such as Microsoft Outlook Calendar or Google Calendar is essential.
- Demonstrated ability to handle confidential information discreetly with integrity.
- Skilled in event planning from conceptualization through execution.
- Knowledge of bookkeeping with data entry preferred.
- Office management experience including filing systems, clerical support, front desk operations, and general office administration.
- Ability to adapt quickly to changing priorities while maintaining attention to detail under pressure.
- Ability to coordinate projects effectively while managing competing priorities.
- Strong computer literacy across various platforms including Microsoft Office applications, Teams and Zoom meeting platforms.
