Position Overview:
We are looking for a proactive and highly organized Executive Assistant to provide strategic administrative support to multiple senior leaders. This role requires a resourceful problem-solver who thrives in a fast-paced environment, anticipates the needs of executives, and effectively manages competing priorities. The ideal candidate will possess exceptional communication skills, an unwavering attention to detail, and a high level of professionalism.
Key Responsibilities:
- Calendar Management: Develop and execute a strategic scheduling approach for multiple leaders, ensuring alignment with priorities and business goals.
- Communication Coordination: Serve as a key point of contact for executives, managing correspondence, scheduling calls, and proactively handling follow-ups.
- Meeting Preparation: Organize and prepare materials for meetings, ensuring executives are equipped with necessary information and documents.
- Information & Document Management: Maintain sensitive and confidential records, ensuring proper organization and accessibility.
- Operational & Project Support: Assist with special initiatives, research, and analysis as assigned by leadership.
- Travel Arrangements: Coordinate domestic and international travel, optimizing logistics for efficiency and cost-effectiveness.
- Meeting Facilitation: Lead and support large-scale meetings (e.g., All-Hands), taking detailed notes and ensuring action items are properly communicated.
- Team Engagement & Culture Building: Plan and execute office events that foster connectivity and recognize significant milestones for employees.
Qualifications & Skills:
- 5+ years of experience providing executive-level administrative support.
- Strong organizational and multitasking skills with impeccable attention to detail.
- Ability to anticipate needs, think critically, and offer proactive solutions.
- Excellent written and verbal communication skills with a professional demeanor.
- Highly adaptable in a dynamic, fast-paced environment.
- Strong problem-solving skills with a resourceful, self-starter mentality.
- Ability to handle sensitive information with discretion and sound judgment.
- Experience managing multiple executive calendars and prioritizing requests.
- Proficiency in Google Suite (Calendar, Gmail, Drive) preferred.
- Ability to push back when necessary while maintaining diplomacy and professionalism.
- No travel required for this role.
