Executive Assistant, R&D

Position Summary:
We are seeking a highly organized and detail-oriented Executive Assistant (EA) to provide comprehensive administrative support to multiple senior leaders within R&D. This role is essential to ensuring operational excellence through calendar and travel coordination, administrative support, and smooth cross-functional communication. The EA will manage day-to-day logistics with precision, enabling leaders to operate efficiently and stay focused on strategic goals.
Key Responsibilities Include:
- Manage calendars, schedule meetings, and coordinate travel logistics for multiple (4) senior leaders.
- Prepare leaders in advance of meetings with materials, agendas, and presentation support.
- Monitor executive schedules to identify potential conflicts by understanding priorities and preferences; provide timely suggestions to resolve issues and ensure smooth calendar management.
- Serve as a liaison between leadership, internal teams, and external stakeholders.
- Assist with preparation of POs, invoice processing and contract management.
- Process expenses and reimbursements with accuracy and timeliness.
- Order catering, office supplies, and coordinate logistics for meetings and team events as needed.
- Support ongoing administrative initiatives and assist with special projects as needed.
- Maintain confidentiality across all workstreams.
Education, Registration & Certification:
- Bachelor's degree preferred.
Experience:
- 3+ years of experience in administrative or executive support roles.
Skills, Knowledge & Abilities:
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Ability to manage competing priorities in a dynamic, fast-paced environment.
- High degree of professionalism, discretion, and confidentiality.
Physical Demands and Work Environment:
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Benefits and Perks:
Base salary for this role will consider multiple factors, including but not limited to, candidate qualifications, relevant expertise, specialized skills, and industry experience in complement-targeted therapies.
The targeted base salary range for this position is $83,000- $124,000 per year. This range represents the base salary only and reflects Apellis' commitment to competitive compensation within the biopharmaceutical industry. The final salary offered may vary based on individual qualifications, business needs, and current market conditions.
