Job Title: Quality Document Control Specialist

About The Role

We are seeking a meticulous and detail-oriented Quality Document Control Specialist to join our team. This role is essential for maintaining the integrity and accuracy of critical documentation, ensuring compliance with industry standards, and supporting audit requirements. The ideal candidate will possess strong organizational skills and a commitment to precision in managing document updates, revisions, and traceability.

Primary Responsibilities

  • Manage and maintain the document control system to ensure accurate tracking, distribution, and storage of documents.
  • Process updates and revisions to controlled documents, ensuring all changes are recorded and traceable.
  • Ensure compliance with company policies and regulatory requirements by maintaining accurate and complete documentation.
  • Collaborate with internal teams to obtain, review, and archive documentation required for production, quality assurance, and audits.
  • Prepare and provide controlled documents to internal and external stakeholders as needed for operational or audit purposes.
  • Perform regular audits of document management systems to identify and resolve discrepancies.
  • Support internal and external audits by providing required documentation promptly and accurately.
  • Maintain confidentiality and security of sensitive documents and records.

Minimum Qualifications

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • 2+ years of experience in document control or a similar administrative role.
  • Proficiency in document management systems and software applications (e.g., SharePoint, Excel, or other digital tools).
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.

Preferred Qualifications

  • Experience in a regulated industry (e.g., manufacturing, healthcare, or engineering).
  • Familiarity with ISO standards and audit requirements.
  • Knowledge of quality management systems and lean principles.
