Office Assistant

We are seeking a Part-Time Office Assistant to join our Tucson office. This role involves greeting clients and customers in a positive and professional manner at the front desk reception, providing mailroom and messenger service, and general office clerical assistance. Duties include maintaining general facilities, relocating furniture, equipment, and files, coordinating the purchase, delivery, and storage of office supplies, and performing records management duties.
Responsibilities/Duties:- Maintain the appearance of the office space.
- Greet visitors with professionalism. Announce them to respective attorneys or staff in a timely manner.
- Maintain reservation schedule for conference rooms and other resources as instructed.
- Validate client parking tickets. Records visitor names in log.
- Distribute and maintain records of key card use for both staff and visiting staff.
- Retrieve and dispatch messages and faxes left on the voice mail system.
- Provide conference room setup (including video conference equipment setup and testing) for all meetings, luncheons, and other events.
- Order meals for in office meetings within budget parameters with the assistance of Operations Supervisor.
- Enter expense reimbursements, check requests and credit card purchases for office.
- Prioritize and coordinate messenger.
- Relocate equipment, furniture, and files as requested.
- Some travel for safety deposit pick-ups and files to and from off-site storage.
- Perform clerical duties including typing, scanning, mail sorting, preparing mailings, and organizing files.
- Clean and coordinate service and repair of all kitchen equipment.
- Maintain leased vehicle including preventative and unscheduled maintenance.
- Coordinate repair of scanners and printers.
- Sort and distribute incoming mail and process outgoing mail. Accept and sign for packages being delivered; record and dispatch same.
- Package and label outgoing UPS and FedEx items and expedite after-hours delivery to airport locations as directed.
- Maintain inventory of supplies in conference rooms, kitchen, workstations, and stock room.
- Order and receive supplies from vendors.
- Accurately assemble and label boxes for final onsite and offsite warehouse storage.
- Other duties as assigned.
- High school diploma or equivalent required.
- Current Arizona driver’s license and good driving record.
- Good written and oral communication, organization, and interpersonal skills required.
- Professional appearance required.
- Basic level experience in MS Outlook, MS Word, and Records database.
- 8 hour shift
