The Administrative Coordinator will support the Office of Graduate and Professional Admissions by performing a variety of clerical and administrative tasks. This is a 25-hour per week position, typically 5 hours a day (9:00 AM – 2:00 PM), with some flexibility depending on candidate availability.

Responsibilities
  • Perform regular clerical duties for the department, including answering phones and serving as the department receptionist; type and print correspondence, reports, manuals, and other documents using word processing.
  • Organize and maintain departmental files and records, often involving cross-filing and cross-referencing systems.
  • Perform various tasks related to the maintenance of computerized departmental data.
  • Handle daily data entry and data management using various PC software, including regular updates to the system.
  • Develop and maintain logs and other manual record-keeping systems related to assigned functions, as needed.
  • Compile information from both manual and computerized records and files for regular and special reports, as requested by the supervisor.
  • Prepare and coordinate bulk or other special departmental mailings.
  • Serve as a liaison with students, faculty, staff, parents, and other department/program constituents; explain policies and procedures, answer questions, coordinate services and assistance, and handle special requests or problems as appropriate.
  • Perform other specialized or technical administrative tasks related to the department’s primary functions.
  • Regularly confer with the immediate supervisor and other department personnel to plan and coordinate activities, exchange information, and resolve problems.
  • Perform other related duties as assigned.
Qualifications
  • Associate’s degree in business or other appropriate discipline, plus two to three years of relevant clerical and administrative experience, or a combination of education and experience from which comparable knowledge and skills are acquired.
  • Broad range of general and specific clerical skills, including typing/word processing, filing, phone/office reception, and customer service.
  • Strong administrative and organizational skills with experience in organizing and maintaining moderately complex filing and record-keeping systems; prior experience with computerized information systems is required.
  • Excellent data entry skills and experience with various software technologies; ability to multi-task effectively.
  • Strong reading, spelling/grammar, writing, and math skills with a keen attention to detail.
  • Ability to interact effectively with a wide variety of University personnel, students, and external individuals/organizations.
