Job Summary:

The role provides assistance to new patients seeking medical care, supporting them through the application process, verifying insurance or self-pay status, accurately registering the patient, explaining the sliding-fee discount, obtaining income documentation when applicable, and scheduling the first appointment. Additional responsibilities include handling business office functions, responding to telephone inquiries, verifying active insurance coverage a day before appointments, making reminder calls, and related duties.

Responsibilities:

  • Respond to incoming and outgoing calls professionally, particularly for new patient referrals.
  • Assist patients with completing all necessary intake paperwork.
  • Create new patient charts in the practice management and EMR systems.
  • Obtain and verify demographic and insurance information.
  • Conduct insurance checks before scheduling to ensure in-network eligibility.
  • Assign and schedule new patients according to practice referral guidelines.
  • Request and retrieve relevant medical records from outside providers for the first appointment.
  • Maintain accurate daily records of new patient tracking for the administrative team.
  • Protect patient privacy by adhering to HIPAA guidelines.
  • Communicate effectively with other departments to contribute to a team effort.
  • Follow standard policies and procedures to maintain daily office operations.
  • Provide translation services for patients as required.

Additional Requirements:

  • High school diploma or equivalent.
  • Basic grammar, spelling, typing, keyboard, and computer skills.
  • Strong customer service skills.
  • Knowledge of medical terminology.
