Job DescriptionJob Description

A title closer assistant position, works in real estate to ensure that a buyer receives a clear title to a property. They should have excellent written and verbal communication skills They should also have some familiarity with mortgage and/or title, keep detailed notes on all actions in case of possible audit, reviewing preliminary title reports, managing payoffs, resolving title issues, and preparing preliminary CD settlement statements.  Their responsibilities include: 

  • Gathering documents: Collecting all required documents and contracts for real estate transactions, including all buyer and seller information. 
  • Document handling: Handling documents and files for the title insurance and escrow processes. Including title work package, which includes the preliminary CD, title policy/commitment, and other closing documents
  • Drafting documents: Preparing documentation and assisting in preparing documentation. Clearing closing requirements for the completion of real estate transactions. Drafting any Quit Claim Deeds, affidavits, etc that will be needed for the closing 
  • Reviewing documents: Evaluating all documents, including contracts, title reports, and escrow instructions, to ensure they are complete and accurate. They also verify amounts due on mortgages, deposits, home owners associations and taxes
  • Recording documents: Recording legal documents 
  • Notarizing papers: Notarizing and witnessing documents.
  • Explaining costs: Explaining costs of title to clients and clarify fees added to property sales.
  • Resolving errors: Resolving any informational or clerical errors 
  • Coordinating actions: Coordinating all closing actions in a real estate company. Including collaborating with lenders, real estate agents, lawyers, and other company offices on transactional issues 
  • Scheduling closings: Scheduling closings, including purchases, refinances, seller sides, both sides, and O&Es 
  • Administrative tasks: Setting up appointments, answering phones, and communicating with the parties involved in the sale 
  • Retrieving public records: Retrieving public records from a computer database or court files 
  • Title searches: Requesting title or lien searches
  • Clearing defects: Clearing defects by ordering payoffs and other requirements on title commitments and lender closing instructions,
  • Bookkeeping: Carrying out bookkeeping functions, opening closing files, maintaining closing files, sending out invoices, and posting payments 

·         Ensure safety: Work as an impartial third party to ensure the safety of the buyer, seller and the lender in a real estate transaction.
