We are in search of an Administrative Assistant to join our team in the construction and roofing industry in Oakland Park, Florida. This role will involve supporting daily office operations, ensuring seamless communication, and maintaining office supplies. BILINGUAL ENGLISH/SPANISH IS REQUIRED.


Responsibilities:

• Handle incoming calls and direct them to the appropriate departments.

• Assist in the preparation of correspondence, ensuring accuracy and timeliness.

• Deliver top-notch customer service, addressing inquiries and resolving issues promptly.

• Manage and coordinate schedules to ensure smooth daily operations.

• Order and maintain office supplies to ensure availability when required.

• Handle invoices, ensuring they are managed and processed correctly.

• Utilize Microsoft Excel, Word, PowerPoint, and Outlook for various administrative tasks.

• Perform data entry tasks, maintaining accuracy and efficiency.

• Schedule appointments, ensuring all parties are informed and prepared.

• Manage email correspondence, ensuring all emails are responded to in a timely and professional manner.

• Minimum 2 years of experience as an Administrative Assistant or in a similar role
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Experience with handling inbound and outbound calls
• Strong customer service skills and experience
• Proficiency in data entry tasks
• Experience with email correspondence and managing professional emails
• Ability to schedule appointments and manage calendars effectively
• Proactive problem-solving skills
• Strong verbal and written communication skills
• Ability to multitask and prioritize tasks effectively
• Strong organizational skills and attention to detail
• Ability to work independently and as part of a team
• Strong interpersonal skills, with the ability to interact effectively with all levels of staff.
