Job DescriptionJob Description

We are seeking an enthusiastic and detail-oriented Accounts Payable Specialist to join our finance department. The ideal candidate should be well-versed in maintaining and managing a company’s financial records, particularly relating to the management of payable accounts. The candidate should also be adaptable and willing to learn in a dynamic environment.

Responsibilities:

  1. Inputting invoices into our Vista/Portal system.
  2. Reconciling monthly AP statements from vendors.
  3. Assisting in the construction of the yearly budget and contributing to the quarterly analysis.
  4. Setting up new vendors by collecting necessary paperwork.
  5. Managing and maintaining credit cards (Comdata/AMEX).
  6. Assisting in creating and filing 1099s forms for other accounting employees.
  7. Saving and managing packing slips received via email or mail.
  8. Responding to payment inquiries and assisting vendors with accounting questions or concerns.
  9. Updating Vendor Files with up-to-date W9s.
  10. Aiding in the transition from hard copy checks to Electronic Funds Transfer (EFT), which includes obtaining EFT forms from vendors and verifying micro deposits.
  11. Assisting in coding credit card transactions.
  12. Conducting monthly AP reconciliation.


Requirements:

  1. Proficiency in using Microsoft Office Suite, particularly Excel with intermediate skills.
  2. Familiarity or working experience with accounting software such as Trimble would be beneficial.
  3. Ability to learn and adapt quickly.
  4. Excellent communication and interpersonal skills.
