Executive Administrator (Sacramento, CA)
LHH is teaming up with a health insurance company in Sacramento, CA in search of an experienced Executive Administrator. This temporary position offers the opportunity to provide high-level administrative support to executive leaders in a dynamic healthcare environment, facilitating efficient operations and strategic initiatives.
The ideal candidate is an experienced Executive Administrator with a background in healthcare, particularly in HMO settings. They should possess excellent organizational and communication skills, be proficient in MS Office and demonstrate the ability to manage multiple priorities with discretion. A collaborative mindset and a proactive approach to problem-solving are essential.
Key Responsibilities:
- Assist Executives in developing and implementing organizational plans, strategies, and budgets.
- Manage calendars for Executives, including scheduling meetings and travel arrangements.
- Document departmental goals and priorities regularly to meet annual business targets.
- Collaborate with team members and leaders on special projects to achieve company objectives.
- Present departmental performance updates and relevant information to internal and external stakeholders.
- Maintain key stakeholder relationships and document staffing plans to support business initiatives.
- Communicate business updates to uphold high performance standards.
- Identify areas for process improvement and resource needs.
- Handle inquiries from visitors and calls, providing information or referrals as needed.
- Draft and proofread correspondence, reports, and meeting materials.
- Organize and maintain filing systems and handle incoming mail efficiently.
- Prepare reports by compiling and summarizing data.
- Facilitate Board meetings by preparing agendas and minutes.
- Provide guidance to other Executive Administrative Assistants.
- Work independently to prioritize tasks and meet deadlines.
- Clearly interpret and communicate policies and procedures to all staff levels.
- Foster cooperative relationships while managing sensitive information with discretion.
- Experience: At least 3 years as an Executive Administrative Assistant or similar role; healthcare (especially HMO) experience is a plus.
- Education: Associate’s Degree in Business Administration or related field.
- Proficiency in MS Office (Outlook, Word, PowerPoint, and advanced Excel), Microsoft Teams, and Zoom required; familiarity with Smartsheet is preferred.
- Excellent communication, organizational, and multitasking abilities.
- Ability to manage sensitive information with discretion.
Worksite Type: On-site in Sacramento, CA, with some hybrid availability
Pay Rate: $35-$38/hour, depending on experience
Hours: Full time, regular office hours. Can vary between 7:30 AM – 5:30 PM
Duration: Contract (Start ASAP with 2-month duration. Possible extension)
