Job Description:
Our client is seeking a highly motivated and detail-oriented Administrative Assistant to join our growing construction team. This role is integral to the smooth operation of our projects, providing crucial support to the field teams, managing certified payroll, submittals, and RFI documents, and ensuring that all necessary documents are properly signed and organized.
Key Responsibilities:
• Field Support: Assist with the coordination and communication between field teams and office staff to ensure project efficiency.
• Certified Payroll: Manage and process certified payroll documents, ensuring accuracy and compliance with regulatory requirements.
• Submittals & RFI Documents: Prepare, track, and organize submittals and Requests for Information (RFIs), ensuring timely submission and responses.
• Document Management: Ensure all necessary documents are signed, organized, and stored appropriately, maintaining a well-structured filing system.
• Communication: Act as a liaison between project managers, field staff, subcontractors, and clients, ensuring clear and effective communication.
• Administrative Tasks: Handle a variety of administrative tasks, including data entry, scheduling, and office support as needed.
• Document management of construction contract documents; scanning and filing with opportunity to grow into contract administration if desired.
• Formatting and submitting RFI’s, submittals, closeouts for our construction projects with opportunity to grow into Project Engineer if desired.
• Reviewing and logging insurance, licenses, and certified payroll records with opportunity to grow into HR if desired.
• Email & phone correspondence with subcontractors, architects & superintendents.
• Administrative support for our field team
• Other tasks as needed (ex: running errands, getting mail, assisting the billing/accounting department, organizing office etc.)
Qualifications:
• High school diploma or equivalent required; associate or bachelor’s degree preferred.
• Prior experience in the construction industry is a plus.
• Exceptional organizational skills with a strong attention to detail.
• Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
• Excellent verbal and written communication skills.
