Receptionist

Responsibilities:
• Greet and direct all visitors, including vendors, clients, and customers
• Answer, screen, and forward incoming phone calls while providing basic information when needed
• Perform various administrative tasks, including organizing files and scheduling appointments
• Ensure reception area is tidy and presentable, equipped with all necessary stationery and material
• Receive, sort, and distribute daily mail/deliveries
• Utilize Microsoft Office applications to prepare reports and perform data entry tasks
• Maintain office security by following safety procedures and controlling access via the reception desk
• Provide excellent customer service, addressing customers' queries and complaints, and ensuring efficient resolution
• Manage appointments by planning and scheduling meetings, conferences, and teleconferences
• Conduct email correspondence and manage electronic schedule.• Proficiency in answering and managing a multi-line phone system
• Excellent customer service skills with a customer-first attitude
• Ability to perform data entry tasks with a high level of accuracy
• Experience in managing detail-oriented email correspondence
• Strong interpersonal skills for effective communication with clients and colleagues
• Proficiency in using Microsoft Excel for data management and analysis
• Familiarity with Microsoft Outlook for email and calendar management
• Proficiency in using Microsoft Word for creating and editing documents
• Experience in organizing files, both digital and physical, for easy retrieval
• Ability to schedule appointments and manage calendars efficiently
