Administrative Support Specialist

The Administrative Assistant is the second level of administrative support. The incumbent is responsible for performing administrative support activities related to preparing correspondence and reports, scheduling meetings, handling travel arrangements, and processing a wide variety of documents and applications related to the area of assignment
Key responsibilities include:
- Answering phones, taking messages, and/or transferring callers to appropriate staff members. Greeting and directing visitors; providing general information to the general public.
- Performing various clerical duties, including but not limited to preparing mailings, distributing mail, faxes and other correspondence; making photocopies; creating and maintaining filing systems, adhering to record retention policies.
- Maintaining databases, spreadsheets and/or application systems; may assist with software testing.
- Preparing, proofing, and editing documents, templates, labels, and forms; assisting in developing and producing presentation materials.
- Monitoring supplies, responding to requests and placing orders when needed.
- Scheduling meetings and appointments; reserving resources; assembling or preparing meeting materials and preparing meeting rooms; coordinating applicable travel arrangements.
