The compensation for the selected candidate will be determined based on various factors, including departmental budgets, qualifications, experience, education, licenses, specialty, and training. The salary range provided reflects the University's good faith estimate at the time of posting.

Position Overview

The role involves providing essential administrative assistance to the Associate Dean for Alumni Relations and the Executive Director of the Columbia College Fund. The individual will play a vital role in two teams, dedicating equal time to both the College Fund and Alumni Relations.

Key Responsibilities

  • Act as a liaison with donors and staff, managing correspondence, preparing draft responses and acknowledgments, arranging travel, and processing reimbursement documents and expense reports.
  • Conduct research to support management efforts, including generating gift reports, processing donations, and preparing statistical and analytical reports using the University's alumni database.
  • Assist with mailings to alumni, parents, and friends of Columbia College, ensuring accuracy in mailing lists, drafting and editing content, and maintaining adequate supplies of departmental materials.
  • Support managers in preparing for prospect appointments and meetings by compiling background information and attending meetings to assist with volunteer outreach and follow-up.
  • Help plan and execute events and meetings, preparing promotional materials, invitations, and reports, while coordinating with vendors and managing logistics.
  • Perform additional related duties as required, including providing support to the office receptionist.

Minimum Qualifications

  • High School diploma or equivalent required, with a minimum of three years of relevant experience or an equivalent combination of education and experience.
  • Proficient in Microsoft Word, including mail merges, with strong skills in Excel and database management.
  • Exceptional interpersonal skills to effectively interact with faculty, staff, alumni, parents, and other stakeholders.
  • Strong written and verbal communication skills are essential.
  • Highly organized, self-motivated, detail-oriented, and capable of working independently as well as collaboratively.
  • Ability to prioritize and manage multiple projects in a fast-paced environment is crucial.
  • Occasional overtime may be required.
