Credit Operations Specialist

Job Purpose:

The Credit Operations Specialist is crucial at INSBANK, ensuring the effective oversight and management necessary to uphold the integrity and efficiency of our credit functions. This role is essential in guaranteeing that our credit procedures not only comply with but also surpass industry benchmarks, thereby supporting the organization's overall mission and contributing to its sustained success.

Job Description:

Responsible for the prompt collection and evaluation of financial documents, coordinating loan committee activities, assisting in audits, enhancing credit processes, and engaging in special projects. Collaborate closely with various teams to maintain digital credit files, standardize procedures, and ensure data accessibility, significantly contributing to the efficiency and integrity of credit operations. Foster partnerships with other departments to achieve mutual goals and coordinate on shared priorities. Provide thought leadership for credit quality and may represent the department when necessary.

Duties and Responsibilities:

Financial Monitoring:

  1. Work in tandem with Commercial Loan Coordinators, Relationship Managers, and Portfolio Managers to ensure timely collection of all required financial documents.
  2. Assess financial documentation to verify compliance with the requirements of the respective tickler request.
  3. Ensure that financial documentation ticklers are established according to the stipulations outlined in the respective loan agreements.
  4. Maintain digital credit files in the nCino platform with consistent naming conventions for easy access by other Loan Team members.

Loan Committee Administration:

  1. Collaborate with Loan Teams to organize the Loan Committee agenda.
  2. Gather and distribute credit packages to Loan Committee members and other stakeholders via email and OnBoard.
  3. Document minutes of the Loan Committee and ensure that approvals are accurately recorded within the nCino platform.

Audit Coordination:

  1. Assist in managing FHLB borrowing base collateral, including reporting and gathering documentation as part of the regular audit schedule.
  2. Support the Chief Credit Officer and Credit Officer as needed to collect documentation during Third-Party Loan Reviews, Safety & Soundness Examinations, and any other audits that may occur.

Process Improvement and Innovation:

  1. Assist the Credit Team in developing standardized processes and procedures for recurring tasks to ensure consistency across the department.
  2. Identify key processes that can be automated through existing technology and collaborate as necessary for implementation.
  3. Ensure that credit processes remain aligned with evolving loan policies.
  4. Utilize reporting systems to guarantee that credit-related data is accessible efficiently.

Other Responsibilities:

  1. Assist Loan Teams with construction draw requests.
  2. Coordinate with Loan Teams and Loan Administration to review Borrowing Base Certificates and ensure proper tracking of BBC ticklers.
  3. Collaborate with the Credit Officer and/or Credit Analysis Administrator on projects that may require research and data analysis.

Other Key Job Functions:

  • Communicate effectively with Senior Management, Auditors, Vendors, and other bank personnel.
  • Adhere to all bank and department personnel policies and procedures.
  • Perform other reasonably related job responsibilities as assigned by immediate supervisor and other management as required.

Required Knowledge, Skills and Abilities:

Preferred comprehensive knowledge of commercial lending practices, financial analysis, and risk assessment.

Highly organized and detail-oriented.

Excellent verbal and written communication skills.

Strong spelling and grammar skills.

Ability to maintain the highest level of confidentiality.

Proficient in Microsoft Word and Excel.

Strong work ethic.

Focus on timely follow-up.

Regular reliable attendance and punctuality are essential functions of this position.
