Arellano Associates (AA) is a distinguished consulting firm specializing in public outreach and communication strategies, particularly in the realms of public infrastructure, transportation, and community planning initiatives across Southern California and beyond.

The Senior Project Coordinator (SPC) is a full-time role that encompasses a diverse range of responsibilities related to public outreach, stakeholder engagement, project oversight, and business development. This position involves direct interaction with the public and clients as directed by project leadership, offering significant opportunities for professional growth within the organization.

Key Responsibilities
  • Public Engagement Strategies: Contribute to the creation and execution of public engagement strategies and community outreach plans across various platforms, including in-person events and online channels, utilizing both written and digital communication tools to ensure clients receive pertinent and accurate public feedback.
  • Content Management: Lead and manage the creation and revision of project-related content, which includes branding, key messaging, promotional materials, presentations, electronic communications, websites, exhibits, social media content, and construction notifications.
  • Stakeholder Interaction: Oversee the implementation of stakeholder interaction protocols, which includes addressing inquiries, monitoring feedback on social media and other digital platforms, managing dedicated communication lines, and maintaining comprehensive records of public input.
  • Notification Development: Design and manage effective public notification strategies, including the preparation of public notices and documentation necessary for disseminating project information and gathering public input.
  • Team Leadership: Supervise junior team members in the execution of project tasks, ensuring adherence to timelines and budget constraints while maintaining high-quality standards for deliverables.
  • Vendor Coordination: Establish and oversee project-related vendor services and manage sub-consultants effectively.
  • Project Oversight: Assist senior management with project oversight, including monitoring timelines, budget expenditures, staff utilization, and preparing status reports.
  • Proposal Assistance: Support the development of proposals, including project history, methodology, qualifications, scope, and budget considerations.
  • Staff Evaluation: Participate in the monthly review of timesheets, staff productivity, and contribute to annual performance evaluations.
Required Skills and Qualifications
  • Communication Proficiency: Exceptional written and verbal communication skills are essential.
  • Budget Management: Proven experience in monitoring project budgets and supervising junior personnel.
  • Attention to Detail: Must be detail-oriented, adaptable, and capable of multitasking in a fast-paced environment.
  • Public Interaction: A strong enthusiasm for engaging with the public is required.
  • Availability: Willingness to attend public meetings and events, which may occur during regular business hours, evenings, and weekends as necessary.
  • Technical Skills: Proficiency in Microsoft Office Suite, OneDrive/SharePoint, Google Maps, Google Drive, Constant Contact, and various social media platforms.
  • Digital Tools: Familiarity with digital engagement tools and public engagement software, including Adobe Creative Suite, SurveyMonkey, MetroQuest, Poll Everywhere, TypeForm, WordPress, and interactive mapping technologies.
  • Technical Expertise: Knowledge of electronic mapping (ArcGIS), online data resources, video conferencing tools, and advanced digital engagement technologies.
Minimum Qualifications
  • Positive Attitude: A proactive and enthusiastic approach to community engagement is essential.
  • Experience: 5-10 years of relevant experience in public outreach, marketing, communications, public relations, government relations, planning, public policy, or a related field.
  • Education: A Bachelor's Degree is highly preferred; a Master's Degree is also desirable.
