Job Summary

We are seeking a highly organized and detail-oriented Event and Venue Planner to join our team at the Commonwealth of Virginia. The successful candidate will be responsible for coordinating logistics for educational programs and events, ensuring seamless execution and exceeding expectations.

Key Responsibilities
  • Coordinate event planning and logistics, including venue selection, catering, and audiovisual equipment.
  • Develop and manage event budgets, ensuring cost-effectiveness and adherence to financial guidelines.
  • Collaborate with cross-functional teams to ensure successful event execution, including marketing, registration, and participant communication.
  • Manage event registration processes, including ticket sales, tracking systems, and attendee management.
  • Oversee event invitation and reply processes, including invitation design, distribution, and follow-up.
  • Implement event registration procedures, including advance and on-site registration, tracking systems, and publicity.
  • Manage event accounting, sales, allocation, distribution, and revenue generated from ticket sales.
  • Organize electronic storage of relevant documentation, ensuring secure and accessible storage.
Requirements
  • Bachelor's degree in a related field, such as event management, hospitality, or business administration.
  • At least one year of experience in event planning, coordination, or management.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to work independently and collaboratively as part of a team.
  • Proficiency in event planning software, such as event management systems and registration tools.
  • Knowledge of budgeting and financial management principles.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
Preferred Qualifications
  • Experience working in a government or non-profit organization.
  • Knowledge of public policy, politics, or government.
  • Familiarity with event planning software and tools.

The Commonwealth of Virginia offers a competitive salary range of $37,000-$45,000, depending on experience. We also offer a comprehensive benefits package, including health insurance, retirement plan, and paid time off.
