Job Summary

The Commonwealth of Virginia is seeking a highly organized and detail-oriented Event and Venue Planner to join our team. As a key member of our events team, you will be responsible for coordinating logistics for educational programs and events, ensuring seamless execution and exceptional participant experiences.

Key Responsibilities
  • Coordinate event logistics, including venue selection, catering, and audiovisual equipment rental.
  • Manage event invitations, RSVPs, and communication with participants and vendors.
  • Develop and implement event budgets, ensuring cost-effectiveness and adherence to organizational guidelines.
  • Collaborate with program associates to communicate venue needs, entry procedures, security measures, and other essential information.
  • Ensure procurement and purchasing procedures are followed and managed within budgetary limits.
  • Anticipate recurring events, reviewing previous procedures, materials, and attendance trends to improve future events.
  • Implement event registration procedures, tracking systems for event participant information, ticket sales, publicity, and attendee profile management.
  • Oversee the accounting, sale, allocation, distribution, and revenue generated from ticket sales for larger events.
  • Organize electronic storage of relevant documentation.
Requirements
  • Bachelor's degree in a related field, such as event management, hospitality, or business administration.
  • At least one year of experience in project or event management, with a focus on logistics and coordination.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to work independently and as part of a team, with a strong attention to detail and ability to multitask.
  • Familiarity with event management software and tools, such as registration systems and budgeting tools.
Preferred Qualifications
  • Experience working in a non-profit or government organization.
  • Familiarity with the Commonwealth of Virginia's purchasing and contracting portal.
  • Knowledge of public policy, politics, or government, with a demonstrated interest in these areas.
