Job Overview

We're seeking a highly organized and detail-oriented Administrative Assistant to join our team at Jack Conway. As a key member of our support staff, you'll play a vital role in ensuring the smooth operation of our daily activities.

Your primary responsibilities will include providing administrative support to our managers and employees, managing our company's general administrative activities, and maintaining a high level of organization and attention to detail.

Key Responsibilities:

  • Answer and direct phone calls in a professional and courteous manner
  • Organize and schedule appointments, meetings, and events
  • Plan and coordinate travel arrangements, including booking flights and hotels
  • Assist in the preparation of regularly scheduled reports and presentations
  • Develop and maintain a filing system, both physical and digital
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists and databases
  • Provide general support to visitors and clients
  • Act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers

Requirements:

  • Proven experience as an administrative assistant, virtual assistant, or office admin assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, such as printers and fax machines
  • Proficiency in MS Office, particularly Excel and PowerPoint
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
