JOB TITLE: Safety Operations Manager

Primary Objective

This role leads the safety management initiative and delivers comprehensive safety support and direction to the organization. The Safety Operations Manager collaborates with Terminal Managers and Crossett leadership to develop both short-term and long-term strategies aimed at fostering a safety-oriented culture across the organization. This position is responsible for implementing and overseeing systems and activities that ensure regulatory compliance; providing training and professional development for management, drivers, maintenance, and support personnel; managing the incident management process; conducting reviews and inspections of safety management practices; and tracking metrics and indicators that reflect performance.

Scope of Responsibilities

Reporting directly to the President, the Safety Operations Manager offers support, direction, and guidance to terminal managers across various regions. This role interacts with and significantly influences the behavior, performance, and knowledge of company drivers and lease operators. The Safety Operations Manager acts as a consultant, enabling management to address safety and regulatory challenges impacting the organization.

Key Duties

Overseeing and executing the components of the Incident Management process, including the coordination of reporting, investigation, documentation, and management of incidents and claims.

  • Reviewing incident file contents for accuracy and necessary documentation.
  • Acting as the gatekeeper for preventable incident decisions.
  • Ensuring proper accountability is assigned for preventable incidents.
  • Providing a detailed and accurate monthly report with relevant metrics.
  • Delivering monthly scorecards that include strategies and actions to proactively mitigate safety incidents.

Ensuring adherence to state and federal regulations regarding transportation and workplace safety.

  • Monitoring driver qualification files and the hiring process.
  • Reviewing hours of service records for precision.
  • Ensuring compliance with DOT drug and alcohol programs.
  • Collaborating with maintenance to ensure compliance with preventive maintenance and demand maintenance.
  • Meeting all governmental regulations (DOT, OSHA, EPA, and local) including environmental health and safety standards for all company-owned or leased properties.

Creating training materials and conducting training sessions for drivers on the implementation of the Safety Management Program.

  • Ensuring in-vehicle driver training is completed for every active driver.
  • Providing hands-on vehicle inspection training for all active drivers.
  • Facilitating load and unload training for every active driver.
  • Training all active drivers in close-quarter maneuvering principles.

Mentoring managers in safety management practices, protocols, and procedures.

  • Conducting a comprehensive DOT compliance course biannually.
  • Creating and communicating the incident management protocol for terminal managers.
  • Delivering incident root cause analysis and corrective action training to all organizational levels.

Conducting audits and inspections of private fleet and vendor practices to ensure compliance.

  • Performing DOT compliance audits.
  • Implementing a self-inspection protocol for all sites.
  • Conducting maintenance vendor audits to assess compliance with FMCSR regulations.
  • Performing periodic inspections of third-party administration compliance with driver qualification files, CSA, and drug and alcohol program requirements.
  • Conducting regular inspections of company-owned and leased properties to ensure compliance with OSHA and EPA regulations.

Monitoring CSA Basic Scores to identify trends and enhance performance.

  • Providing operations with CSA basic scores and reports.
  • Overseeing and monitoring roadside inspection process reports.
  • Maintaining documentation for roadside inspections.
  • Coaching terminal managers on roadside inspection matters.
