Key Responsibilities:

Executive Support

  • Oversee the CEO's calendar and scheduling
  • Manage the CEO's email correspondence
  • Organize meetings for the CEO and Tenby team members
  • Arrange travel logistics for Tenby personnel
  • Coordinate catering for team meetings and guests
  • Assist with miscellaneous personal tasks for the CEO
  • Maintain and update the CEO's password management system
  • Execute documents on behalf of the CEO and other executives
  • Obtain a notary license to notarize documents as required
  • Facilitate the creation and renewal of business entities
  • Provide daily administrative assistance to various departments including accounting, marketing, operations, and development
  • Regularly replenish the office beverage supplies

Operational Support

  • Administer the Tenby Customer Relationship Management (CRM) system
  • Assist in planning Tenby events and outings
  • Prepare and submit credit card expense reports
  • Serve as the point of contact for association memberships and events
  • Order office supplies as necessary
  • Reserve conference rooms for team meetings
  • Manage the Tenby Zoom account for virtual meetings
  • Conduct monthly and annual backups of Smartsheet data
  • Develop and manage Smartsheet resources for Tenby Partners

Meeting Coordination

  • Facilitate weekly project meetings for Tenby Partners
  • Attend weekly and quarterly leadership meetings, documenting action items and key discussions
  • Prepare agendas, secure venues, and arrange catering for quarterly meetings
  • Perform additional meeting-related tasks as necessary

Legal Support

  • Draft various legal documents including operating agreements, purchase and sale agreements, and leases
  • Maintain a secure storage system for legal documents
  • Provide necessary documents to the legal team as required

Development & Investment Support

  • Gain a comprehensive understanding of the development and investment sector
  • Monitor tenant leases using Smartsheet and Excel
  • Assist the Marketing Coordinator in creating presentations and proposals
  • Track government incentives related to development projects
  • Perform additional related tasks and projects as needed

Qualifications:

  • Strong time management skills and ability to meet deadlines
  • Ability to prioritize tasks with a sense of urgency
  • Excellent verbal and written communication abilities
  • Meticulous attention to detail
  • Effective problem-solving and decision-making skills
  • Strong interpersonal skills
  • Exceptional organizational skills with the ability to multitask
  • Proven experience in an executive support role or similar administrative capacity
  • Familiarity with legal documentation is advantageous
  • Knowledge of the Entrepreneurial Operating System (EOS) is a plus, but not mandatory
