Vice President of Operations

POSITION SUMMARY
The Vice President of Operations is a pivotal executive role that reports directly to the Head of School. This position is essential in steering the overall mission, vision, and operational framework of the institution. Responsibilities encompass leading teams in the development of new facilities, managing daily operations, overseeing the operational budget, crafting and executing strategic initiatives, ensuring safety and security, and fostering relationships with various stakeholders, including students, parents, staff, and the broader community.
The ideal candidate will possess exceptional communication skills to engage effectively with diverse stakeholders. The successful individual will demonstrate the ability to cultivate and sustain relationships, inspire and motivate teams, and embody a visionary leadership style rooted in Christian values.
KEY RESPONSIBILITIES
- Exhibit leadership to staff through effective communication and personal example, embodying a Christian lifestyle and supporting the principles of Classical Christian Education.
- Oversee the financial responsibilities and budget forecasts of the Operations division, ensuring collaborative interdependence with the Senior Staff Team.
- Collaborate with senior leadership to strategize for Capital Renewal and Replacement needs as part of the overarching Strategic Financial Plan, utilizing appropriate software tools.
- Manage significant projects, including city permitting, contracting, equipment rentals, maintenance, insurance certifications, and inspections, while providing project cost estimates and updates to management.
- Supervise operations staff and contracted custodial services, including personnel evaluations, counseling, and daily activity assignments.
- Possess a unique aptitude for understanding risk, drawing from a broad range of relevant experiences to identify potential risks and design effective risk management systems.
- Ensure accurate record-keeping for all regulatory matters.
- Demonstrate the ability to create organizational structures that align personnel and empower employees to enhance their effectiveness.
- Ensure operational activities are conducted in an orderly and timely manner, minimizing disruptions to instructional and co-curricular programs.
- Train operations personnel in safety standards and OSHA regulations.
- Coordinate and schedule campus events and activities in collaboration with staff and parents.
- Develop a strategic plan for the delivery of all operational activities, including grounds maintenance, janitorial services, transportation, and facilities maintenance.
- Oversee the procurement process for materials and building supplies, ensuring timely vendor payments.
- Manage and supervise fixed assets, including mechanical, electrical, plumbing, roofing, carpentry, general maintenance, and alarm systems.
- Maintain city permits, inspection records, and maintenance documentation.
- Manage external partnerships with vendors, oversee the RFP process for services, and ensure compliance with the institution's financial policies.
- Stay informed about market developments and emerging technologies relevant to facility operations, implementing innovations as appropriate.
- Establish and maintain procedures for building usage, custodial services, grounds maintenance, safety, security, and emergency response.
- Act as a steward of the institution's resources.
- Perform other duties as assigned.
EDUCATIONAL AND PROFESSIONAL REQUIREMENTS
- Bachelor's degree in a related field is required; a Master's degree is preferred.
- Prior experience managing Facility Operations of at least 100,000 square feet.
- Experience in project management is essential.
- A minimum of three years' experience in security oversight, AHERA, and OSHA compliance.
- Demonstrated understanding of the diverse academic and cultural backgrounds of students and employees.
- Proficient in Excel and other Microsoft technologies.
- Experience with facilities assessment and maintenance software applications (VFA or similar preferred).
- Comprehensive knowledge of Heating, Ventilation, and Air Conditioning Systems.
- Professional demeanor while interacting with staff.
- Membership in relevant professional organizations is a plus.

WORKING CONDITIONS
This position follows a twelve-month working schedule with paid holidays and vacation in accordance with the Employee Handbook and the Head of School's approval for time off.
EVALUATION
The position will be evaluated annually by the Head of School based on job performance and effectiveness in meeting expectations.
