Company Overview:
Cosmetic Physician Partners is dedicated to establishing a leading network of physician-led aesthetic clinics across the United States. We are currently in search of a Front Desk Receptionist to provide essential support at one of our esteemed partner clinics, M Spa, located in Reno, NV.

Role Overview:
The ideal candidate will possess a remarkable disposition for patient care, coupled with outstanding communication abilities. A well-spoken and articulate individual, the candidate must demonstrate flexibility in scheduling, strong analytical decision-making skills, and an outgoing, friendly demeanor. The ability to multitask, work collaboratively as part of a team, and a comfort level with basic computer software is essential. High integrity and a desire for personal growth are also key attributes.

Key Responsibilities:

  • Welcome every patient warmly, ensuring a positive first impression through direct eye contact and a friendly smile.
  • Deliver personalized care by understanding patient needs and facilitating smooth transitions to the appropriate medical staff.
  • Ensure patient comfort in the waiting area, providing timely updates on any delays while maintaining a clean and organized environment.
  • Maintain comprehensive knowledge of all service offerings, including costs, procedure durations, scheduling blocks, and post-operative care requirements.
  • Manage patient records with precision, verifying and updating demographic information as necessary.
  • Prepare charts for providers and ensure accurate classification of patients using the Room Manager system.
  • Coordinate appointment scheduling within designated timeframes, collaborating with providers to meet patient needs.
  • Oversee the collection and posting of payments, adhering to cash handling protocols and ensuring accurate financial records.
  • Respond promptly and professionally to patient inquiries, ensuring all communications are addressed in a timely manner.
  • Distribute and collect necessary paperwork, including consents, pre-operative instructions, examinations, and lab work.
  • Maintain a polished and professional appearance, setting a standard for the team in both presentation and demeanor.
  • Foster strong, positive relationships with providers and team members to ensure a collaborative work environment.
  • Assist fellow team members with tasks as needed to maintain the efficiency and quality of patient care.
  • Uphold the highest level of patient confidentiality by strictly adhering to HIPAA regulations and all Protected Health Information (PHI) policies.

Qualifications:

  • Exceptional communication skills with a focus on patient-centered service.
  • Strong organizational skills and attention to detail.
  • Proficiency in managing appointments and patient records.
  • Ability to maintain composure in a fast-paced environment and handle multiple priorities effectively.
  • Experience in medical reception or similar roles is preferred.
