Position Summary

The Court Operations Supervisor is responsible for providing leadership, oversight, mentoring, and training to a substantial team of Court Administration Assistants and AmeriCorps members. This team delivers customer service functions to the Law Library Resource Center (LLRC) and collaborates with various criminal justice agencies and community partners. The LLRC equips individuals with the necessary tools and resources to navigate the court system, including court forms, live educational workshops, recorded video tutorials, forms review, and self-help resources.

The ideal candidate will excel in a dynamic environment, possess strong multitasking abilities, and have a proven track record of delivering exceptional customer service. Additionally, they should demonstrate excellent supervisory skills to effectively manage a team of at least nine direct reports, including one lead, as well as one indirect report and over fifteen AmeriCorps members.

Qualifications

Required Qualifications:
  • High School Diploma or GED
Experience:
  • Five (5) years of experience in court operations, including at least one (1) year in a supervisory or lead capacity.

Combined Education and Experience:
  • An equivalent combination of education and relevant experience may be considered on a year-for-year basis, though supervisory experience cannot be substituted.
Preferred Qualifications:
  • Bachelor's Degree in Justice Studies, Business Administration, or a related field.
  • Extensive customer service experience in a high-volume environment.
  • Familiarity with court forms and processes.
  • Completion of the Arizona Court Supervisor (ACS) program.
  • Bilingual proficiency in Spanish and English.

Key Responsibilities

  • Oversee daily operations of the Customer Service Area, Protective Order Area, Information Desk, and Juvenile Court Guides.
  • Manage the scheduling and timesheets of AmeriCorps members, assisting the program manager with program requirements and daily supervision.
  • Support the Deputy Department Administrator in supervising and training interns within the department.
  • Recruit, interview, hire, and retain staff members.
  • Establish and evaluate performance goals for annual assessments.
  • Ensure completion of mandated training requirements.
  • Assess staff performance, implement corrective actions, and develop performance management plans.
  • Prepare management information reports regarding revenue, workload, and service level trends; develop standardized procedures for report generation and data control.
  • Assist in resolving operational issues and facilitate training in court processes.
  • Address complex inquiries regarding departmental policies.
  • Conduct regular unit meetings and participate in departmental and Judicial Branch meetings.
  • Perform monthly and quarterly audits of cash drawers at assigned locations.
  • Ensure compliance with Minimum Accounting Standards.
  • Prepare various communications for Judicial Officers and court staff.
  • Assist internal and external customers, addressing concerns and investigating complex public complaints in accordance with established policies.
  • Participate in committees and special projects, providing input to internal and external agencies.
  • Update database information and generate statistical reports.
  • Order supplies for the Customer Service and Protective Order Areas.
  • Travel to other regional centers as required.
  • Perform duties of other supervisory or customer service staff in their absence.
Working Conditions

While performing the responsibilities of this position, the employee may need to communicate clearly, perceive details of nearby objects, and maintain various physical positions for extended periods, such as sitting, standing, or walking. The role may involve using hands for tasks such as typing, handling objects, or operating tools, as well as reaching with hands and arms.
