Key Responsibilities:

  • Engages in multiple projects of moderate complexity or segments of larger projects. Aids project managers in the administration and coordination of projects to ensure that objectives are met. Offers technical and contract management assistance to project managers throughout the design, construction, fit-up, and closeout stages of the project.
  • Develops, assesses, and modifies standard methodologies, procedures, and criteria. Identifies and resolves issues. Supervises architects' contract administration services to ensure that necessary field checks are performed during the construction phase to comply with project specifications, plans, and established guidelines.
  • Conducts regular site visits with construction contractors to verify completion percentages for calculating monthly incurred costs for progress payments. Reviews monthly schedule submissions as needed. Evaluates and negotiates an agreed recovery plan.
  • Facilitates coordination between architects and general contractors across various contract delivery methods. Reconciles estimates from the design phase.
  • Assists project managers in managing, developing, and coordinating the design process to ensure that plans prepared by architects meet functional program requirements and adhere to budgetary, environmental, and legal standards.
  • Prepares requests for proposals, gathers, and evaluates bids for design and construction services. Collaborates with vendors and the Contracts Department for bid awards and contracts.
  • Conducts research and analyzes data to support project delivery. Aids in developing and maintaining the Estimate at Completion Cost (EAC) throughout all project phases.
  • Reviews change order requests. Evaluates change order requests for validity. Prepares check estimates of work amounts or secures check estimates and negotiates agreed change orders, requiring expertise in negotiation and resolution of critical issues. Supports project managers in drafting change order language.
  • Prioritizes tasks to meet established deadlines, assesses the urgency of workload, and forwards completed products to the appropriate levels within or between departments.
  • Communicates effectively with the Department Team, relaying information that may require their follow-up or input to ensure all deadlines are met.
  • Computer Skills - Proficient in MS Office (and other software/applications) and data entry into computerized databases.
  • Customer Service - Responds to data requests from various areas by coordinating with the next level for approval.
  • Participates in staff/project meetings as assigned. Prepares data for Department leadership review prior to meetings and follows up as necessary.
  • Ensures accurate data entry and proofreading before deadlines to maintain data integrity prior to any transmittals.
  • Provides training to other staff members as requested.
  • Delivers regular updates to Department leadership throughout project durations to ensure deadlines are met and any issues are promptly identified.
  • Demonstrates precision and thoroughness in data entry into computer systems.
  • Adheres to maintaining confidentiality standards.
  • Performs additional duties and projects as assigned.

Required Qualifications:

  • A combination of experience and education may substitute for a Bachelor's Degree.
  • 3-5 years of direct experience in healthcare construction project management and planning.
  • Proficient in supporting multiple project managers. Ability to thrive in a fast-paced environment.
  • Strong skills in personal computer software programs including but not limited to Procore, MS Word, PowerPoint, Excel, Bluebeam, and Visio.
  • Detail-oriented with excellent organizational skills.
  • Ability to work independently with minimal supervision.
  • Strong organization and time management skills. Effective written and verbal communication skills.

Preferred Qualifications:

  • Background in Architecture, Interior Design, Project Management, Construction Management, or a related field.

Required Licenses/Certifications:

  • Fire Life Safety Training (LA City) must be obtained within 30 days of hire and maintained by renewal before expiration date (applicable within LA City only).

The annual base salary range for this position is $81,000 to $133,000. When extending an offer of employment, factors such as the scope and responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations are taken into account.
