Job Summary

We are seeking a highly organized and detail-oriented Records Management Specialist to join our team at Canon U.S.A., Inc. As a Records Management Specialist, you will be responsible for maintaining and retrieving company records, verifying and documenting records stored in accordance with established cataloging systems.

Key Responsibilities
  • File Management: Maintain files, retrieve files from the Records Center for client use as requested, deliver files to clients within established time frames, and ensure returned files are properly logged and placed back in their proper location.
  • File Preparation: Prepare files to be sent for storage, arrange for files to be retrieved from storage when needed, and maintain the cataloging process, procedures, rules, and regulations.
  • File Evaluation: Evaluate the current cataloging system for completeness, efficiency, and usefulness by taking inventories and reviewing retrieval needs.
  • File Organization: Shift files to accommodate needed space as needed and create files through data entry into file tracking software, apply labels to folders, and inter-file (by alphabetical order and sort by number).
Qualifications
  • Education: High School Diploma or equivalent.
  • Experience: Over 5 years of experience working with records and 3+ years of experience in a professional office environment.
  • Skills: Knowledge of records software systems, scanners, filing, storage, and disposal procedures; expert proficiency in computer skills, especially when using records tracking systems or quick retrieval, filing, and storage of files; ability to train less experienced records clerks on the tracking system.
  • Personal Qualities: Excellent customer service, professional attitude, and appearance are a must, as well as the ability to work overtime and meet deadlines.
