Position Summary:

The base salary range for this role is $70K - $75K.

  • Oversee small social group bookings (0-20 rooms) through Reservation Form Agreements.
  • Support wedding coordinators in organizing and managing wedding room blocks (0-20 rooms).
  • Utilize Delphi for creating contacts, accounts, and bookings.
  • Draft proposals, contracts, and Reservation Forms.
  • Prepare expense reports, trip reports, and group invoices.
  • Plan and facilitate social group site visits, including client entertainment.
  • Assist the sales team with managing Delphi accounts/bookings, contracts, proposals, lead qualification, and other administrative tasks.
  • Coordinate advanced sales trip planning and follow-up after trips.
  • Arrange dinner reservations, golf, spa, and activities for clients/VIPs.
  • Participate in daily morning operations meetings in the absence of the sales manager.
  • Monitor daily glitch reports for in-house groups and VIP clients.
  • Assist with site/VIP reservations and necessary documentation.
  • Prepare for site visits and VIP stays in collaboration with sales managers.
  • Work with the events department to assist with room shows.
  • Conduct site inspections when the sales manager is unavailable.
  • Welcome group clients and VIPs upon arrival and departure.
  • Coordinate special amenities for guests.
  • Advance room preparations prior to guest arrivals and site tours.
  • Maintain knowledge of hotel services/features and local attractions to provide accurate information.
  • Complete additional tasks as assigned by the Director of Sales and Marketing.
  • Assist the events team with group operations as needed.
  • Serve as a resource for other departments regarding group-related information.
Qualifications:
  • Preferred experience in the hospitality sector.
  • Proficient in Google Suite and Microsoft Office applications.
  • Familiarity with Opera PMS and Salesforce Amadeus fdc (Delphi).
  • Understanding of the Hawaiian Islands and their unique characteristics.
  • Excellent command of the English language, both written and verbal.
  • Strong attention to detail and ability to multitask effectively.
  • Required clerical skills, including typing, filing, and photocopying.
  • Able to manage a high volume of phone calls and emails efficiently.
  • Knowledge of food and beverage services is advantageous.
  • Ability to work under pressure and collaborate as a team player.
  • Well-developed organizational skills and strategic thinking capabilities.
  • Minimal travel required.
