The Operations Assistant plays a vital role in ensuring a high level of customer service and supporting the Front Desk Leads, Operations Manager, and Operations Director. This role requires strong leadership skills, excellent communication abilities, and a commitment to creating a welcoming environment for all guests and visitors.
Key Responsibilities:
- Front Desk Operations:
- Greet and welcome all members, guests, and visitors with a friendly and professional demeanor.
- Manage the check-in process, including scanning membership cards and verifying member status.
- Answer phone calls, respond to inquiries, and direct calls to the appropriate departments.
- Coordinate and collaborate with all departments, maintenance staff, and security staff.
- Customer Service:
- Provide exceptional customer service by addressing member needs, questions, and concerns promptly and courteously.
- Assist with membership sign-ups, renewals, and cancellations.
- Offer information on services, classes, and events, and assist members with navigating the facility.
- Administrative Support:
- Maintain a tidy and organized front desk area, ensuring all informational materials are up-to-date.
- Process payments for memberships, services, and merchandise.
- Assist with administrative tasks such as data entry, filing, and managing the member database.
- Help manage inventory and supplies, including tracking and reordering as needed.
- Facility Support:
- Monitor access to the facility, ensuring only authorized members and guests enter.
- Handle lost and found items and assist with the general upkeep of the lobby area.
- Report any maintenance issues or facility concerns to the appropriate personnel.
- Physical Tasks:
- Assist with setting up and breaking down event spaces, including arranging furniture and equipment.
- Lift and move supplies and materials, up to 25 pounds, as required for events and daily operations.
Requirements:
- Bachelor's degree and a minimum of 1-2 years of work experience as an administrative assistant or a related field.
- Advanced computer skills to include Microsoft Office.
- The ability to compose and edit grammatically correct correspondence.
- A willingness to learn other skills as necessary.
