Position Overview
Avantax Planning Partners is in search of a Financial Planning Support Associate to manage all client communications and correspondence effectively. This role involves preparing comprehensive client review documents and reports. The Financial Planning Support Associate will assist in the organization of client asset management, brokerage, and insurance accounts, as well as handle various administrative responsibilities for designated Financial Planning Consultants (FPCs). The ideal candidate will be an independent, adaptable, and professional individual capable of making informed decisions. A proactive, detail-oriented approach is essential for success in this position.
Key Responsibilities
- Accurately prepare and review new account documentation in a timely manner.
- Organize and compile client review materials, meeting agendas, and weekly updates.
- Act as a liaison among internal departments to address outstanding issues for Financial Planning Consultants (FPCs), Certified Public Accountants (CPAs), and clients.
- Support FPCs with ongoing communication with CPAs, clients, and prospects regarding account statuses, reminders, and correspondence.
- Maintain and update the Client Relationship Management (CRM) database, including data entry and service requests.
- Process client requests related to new contributions and fund distributions.
- Engage with clients via phone and email to provide timely and accurate information to FPCs and CPAs, including meeting coordination and account maintenance.
- Assist in the training of other Financial Service Assistants as required.
- Identify opportunities for process improvements to enhance office efficiency.
- Perform additional duties as assigned.
Qualifications
- High school diploma or equivalent is required.
- Associate degree (A.A.), two-year technical degree, or bachelor's degree is preferred.
- A combination of relevant experience and education may be considered in lieu of a degree.
- 2-5 years of experience in the Financial Services Industry or administrative support is preferred.
- Familiarity with CRM applications, such as Salesforce, is preferred.
- Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Prior experience supporting Financial Professionals is advantageous.
- Experience in a client-facing role is strongly preferred.
Certifications
- Possession of the Financial Paraplanner Qualified Professional (FPQP) designation is a plus.
Work Environment & Physical Demands
- Keying/typing, standing, and walking are required.
- Extended periods of sitting may be necessary.
- Constant mental and/or visual attention is required; the work may be repetitive or varied, necessitating continuous alertness in an office setting.
- The position is typically performed in comfortable working conditions, with minimal disagreeable elements present during regular job performance.
- Adherence to company attendance standards is expected.
