Job Title: Executive Assistant to CEO

Innova Solutions is seeking an experienced Executive Assistant to provide administrative support to our CEO. This is a contract-to-hire opportunity with a duration of 3 months +.

Location: Washington DC or New York City, NY

Job Summary:

The Executive Assistant will serve as the primary liaison to the board of directors within the Office of the CEO. The successful candidate will provide administrative support to the CEO, prioritize tasks, and maintain confidentiality.

Responsibilities:
  • CEO Executive Support:
    • Serve as a gatekeeper for internal and external constituencies, consulting with the CEO as needed.
    • Prioritize tasks and provide a bridge for smooth communication between the CEO and internal departments.
    • Manage the CEO's calendar, schedule calls, videoconferences, and in-person meetings.
    • Work closely with the CEO to keep them informed of upcoming commitments and responsibilities.
    • Compose written and email correspondence on behalf of the CEO.
    • Maintain hardcopy and electronic files and records.
  • Board Support and Liaison:
    • Work under the supervision of the CEO and General Counsel on board-related matters.
    • Serve as the primary point of contact for LIIF's board of directors and committees.
    • Maintain discretion and confidentiality regarding all Board members.
    • Schedule board, executive, finance, and audit committee meetings.
Requirements:
  • Minimum 7-10 years of experience supporting a C-level executive.
  • High standard for generating quality work and a positive attitude and demeanor.
  • Ability to determine priorities in organizing work and seek guidance from supervisors.
  • Advanced-level skills with Microsoft Teams, Outlook, Word, and PowerPoint.
  • Proficiency with Excel and Zoom.
  • Familiarity with databases such as Salesforce and expense management systems like Concur or Expensify.
  • A bachelor's degree or equivalent experience.
  • Travel required at least 4 times per year for 2-4 days each trip.
