About the Role

We are seeking an experienced Executive Assistant to provide comprehensive administrative support to our CEO. The ideal candidate will have a proven track record of working in a fast-paced environment, handling complex calendar management, meeting planning, and coordination. The successful candidate will be highly organized, proactive, and able to prioritize and execute multiple tasks under tight deadlines.

Key Responsibilities
  • Learn and understand the value proposition, market, and strategy for each of the BlackIvy Group of companies.
  • Provide administrative support to the CEO, including calendar management, meeting planning, and coordination.
  • Handle complex travel arrangements, including flights, hotel accommodations, and car services.
  • Provide technology logistics support, including arranging communication links via teleconference, video conference, and/or web conference.
  • Monitor email and flag high-priority items.
  • Prepare, process, and submit expense reports.
  • Manage submissions of regular update reports from each business.
  • Assist in preparation and printing of presentations, proposals, meeting, and event materials.
  • Prepare and distribute board packets.
  • Manage and track required documentation, including entity checklists.
  • Undertake strategic ad hoc projects as required.
Requirements
  • 2+ years of applicable C-Suite level EA experience.
  • Bachelor's degree.

  • Exceptional MS Office Suite skills, including PPT, EXCEL, Word.
  • Self-starter mentality energized by an entrepreneurial and fast-paced environment.
  • Excellent project management skills, and an ability to prioritize and execute multiple ongoing tasks often under tight deadlines.
