Job Description

Are you a highly organized and proactive Executive Assistant looking for a new challenge? We are seeking a skilled professional to support the President of Media Sales at a leading digital streaming network.

Responsibilities:

  • Manage travel arrangements, including itineraries, car services, and hotel communications.
  • Create and maintain the President's meeting calendar, scheduling and managing 7-10 meetings daily.
  • Efficiently manage the President's overall schedule, daily, weekly, and monthly.
  • Connect calls and send meeting links to the executive's cellphone when on the road.
  • Understand technology and troubleshoot basic functions and programs, including email attachments, PowerPoint, and Zoom links.
  • Demonstrate tech-savviness and respond quickly to technology requests.
  • Act as a liaison for internal and external contacts, understanding the executive's network and directory.
  • Assist in the preparation of speaking engagements and transcribe/dictate letters and emails.
  • Assist with special Ad Sales projects.
  • Confidently interact with high-level executives and clients.
  • Handle expense management and corporate cards, completing monthly expenses and submitting reports in Concur.
  • Coordinate client entertaining events, from venue selection to creating invites and managing guest lists and headcount.
  • Be available 24/7, understanding that in rare instances the executive may require assistance outside of typical work hours.
  • Maintain a confident and calm demeanor and make independent decisions when necessary.
  • Anticipate the President's needs proactively.
  • Attend speaking engagements with the President when needed.

Qualifications:

  • 8-10+ years of experience as an Executive Assistant in the entertainment industry, supporting C-Suite Executive or Higher.
  • Bachelor's Degree.
  • Excellent communication skills, both oral and written.
  • Excellent organizational and time management skills.
  • Strong interpersonal skills and proven ability to work well in a team setting.
  • Professional phone demeanor.
  • Calendar management - Proficient in Office 360, Microsoft Teams, and Zoom.
  • Tech-savvy with the ability to adapt to new technologies and troubleshoot when needed.
  • Strong proficiency in Concur, Outlook, Microsoft, Excel, and Microsoft PowerPoint.
  • Ability to take initiative, prioritize work under tight deadlines in a fast-paced environment.
  • Ability to maintain confidentiality and exercise sound judgment.
  • A proactive and detail-oriented overall approach to work.
  • Professional work attire is required.
  • Flexible with overtime and travel as needed.
  • Available and eligible to travel within the USA to speaking engagements.
