Job Summary

The Director of Facilities is responsible for overseeing the day-to-day operations of Sycamore Suites and University Ridge Apartments. This includes managing maintenance operations, fiscal oversight, client relations, and supervision of employees.

Key Responsibilities
  • Directly supervise one Assistant Director Operations and oversee supervision of subordinate employees in the areas of Maintenance and Operations.
  • Oversee human resource functions such as benefits, worker's compensation claims, payroll processing, hiring, training, and evaluating direct and indirect reporting staff.
  • Represent the site and provide communication about the residential community to campus partners, owners, and COCM corporate staff.
  • On-site coordination, communication, and liaison with the university.
  • Distribute weekly status reports about the residential community including a weekly operations report and leasing status report.
Facilities and Maintenance

The Director of Facilities is responsible for ensuring the execution of daily facilities maintenance, preventative maintenance plan, grounds, and housekeeping. This includes identifying vendors and negotiating contracts for services provided.

  • Manage annual turn of units between contracts including communication with vendors, housing and contract maintenance staff, and walking units for final preparation prior to student move-in.
  • Work directly with maintenance staff to ensure the completion of work orders in a timely manner.
Operations

The Director of Facilities provides fiscal oversight by managing the operating and capital budgets. This includes developing annual budget proposals and presenting budgets to the institution for approval.

  • Ensure all expenditures fall within budget expectations.
  • Track and approve expenditures via accounts payable functions.
  • Submit monthly budget variance explanations.
  • Communicate with COCM accountant staff.
Work Environment

The work environment is mid-to-high paced with moderate noise levels. The physical demands of the job include sitting, using hands to finger, handle, or feel, and talking or hearing. The employee is frequently required to walk, climb stairs, and reach with hands and arms. The employee is occasionally required to stand and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds.

Education/Experience/Skills Required
  • Bachelor's degree in Business or related field.
  • 3-5 years of experience in Student Housing/Residence Life at a College/University or property management.
  • Experience working with undergraduate student populations.
  • Must possess strong interpersonal and communication (oral and written) skills, and computer competency.
  • Experience in facilities management or asset management including management of operating and capital budgets.
Preferred Qualifications
  • Master's degree in Student Personnel, Higher Education or Business or related field.
  • 5+ years of experience in Housing/Residence Life at a College or University.
  • Experience working with undergraduate student populations.
  • Must possess strong interpersonal and communication (oral and written) skills, and computer competency.
  • Experience in facilities management or asset management including management of operating and capital budgets.
