Administrative Coordinator

Job Summary:
Everstaff is seeking an Administrative Coordinator to join their team. The successful candidate will be responsible for managing day-to-day office operations, processing billing for client projects, and creating new client accounts, invoices, and statements.
Responsibilities:
Manage day-to-day office operations
Process billing for client projects
Create new client accounts, invoices, and statements
Generate sales and payment reports, as well as daily journal entries
Handle accounts receivable and collections, including daily deposits
Manage accounts payable
Collaborate directly with the corporate accountant and attorney
Provide administrative support across all departments
Organize and maintain files and records
Plan and schedule meetings and appointments
Work independently on projects from conception to completion
Prepare and edit correspondence, reports, financial data, and presentations
Arrange travel, meetings, and guest accommodations
Requirements:
Strong computer skills and interest in processes and technology
Effective written and oral communication skills
Ability to learn new software and systems quickly
Proven ability to prioritize and multitask, working independently to meet deadlines
3-5 years of experience in office management and supervisory roles
Proficient in Microsoft Office Suite
Excellent interpersonal skills, attention to detail, and organizational abilities
Experience in customer relations and project coordination, with the ability to work well with all levels of management and external clients and vendors
Familiarity with project management methodologies
Ability to lead and manage projects and teams/committees
Proficient in generating correspondence, reports, and communications
