POSITION OVERVIEW:


The Community Engagement Coordinator plays a pivotal role in collaborating with the Regional Manager to oversee and streamline all aspects of property management, maintenance, and development activities.

This includes assisting with rent collection, issuing notices, and managing tenant applications through initial and annual recertifications.

KEY RESPONSIBILITIES:
Maintain all property and tenant records (both digital and physical) in a systematic and organized manner.

Conduct routine property inspections to ensure compliance with lease agreements, including designated parking and upkeep of common areas, while recommending enhancements as needed.

Prepare tenant communications, serve as the primary contact for residents, and enforce the collection of overdue charges in collaboration with the Regional Manager.

Support and coordinate property management, maintenance, and construction activities for commercial and laboratory tenants.

Assist in directing the activities of personnel engaged in the operation and upkeep of various facilities, including laboratories, offices, and manufacturing spaces.

Perform daily, monthly, and bi-annual property assessments, including routine inspections (e.g., vacancy checks, janitorial services, landscaping); accompany the Property Manager during bi-annual asset review inspections and draft necessary communications/documentation.
Assist in reviewing, updating, and maintaining operational guidelines for the building.
Help plan and execute resident appreciation events.
Participate in all site-specific training and emergency preparedness meetings and drills.
Review all open work orders (WO's) for follow-up actions, including vendor scheduling, communication facilitation, and closing completed WO's.

Assist the Community Manager and Maintenance Supervisor in responding to emergencies; coordinate on-site communication with tenants, vendors, or law enforcement as needed.

Manage phone communications by answering, screening, and transferring calls or taking messages to facilitate effective communication.
Ensure that all physical aspects of the property are safe and operational at all times.
Schedule vendors to maintain readiness of all vacant units for occupancy.
Regularly inspect grounds, buildings, and apartment units.
Learn and utilize property management software systems.
Screen new rental applications by conducting credit checks, verifying employment, and previous rental history. Collaborate with the Corporate Office for final application decisions.
Prepare and deliver all legal notices as directed by the Regional Manager.
Uphold Fair Housing policies and procedures.
Assist in generating weekly leasing reports, market surveys, and monthly reports.
Be accountable for the condition of the property, amenities, leasing office, and units ready for rent.
Follow up daily with prospective tenants.
Maintain all leasing documentation.

Ensure the property maintains a high standard of curb appeal through regular inspections and by conducting open houses and resident events.

Effectively communicate with residents and provide timely follow-ups.
Review and process all resident notices related to recertifications.
Complete annual recertifications within set timelines.
Maintain a waiting list for housing in accordance with the property’s Tenant Selection Plan.
Ensure housing applications are processed in compliance with the property’s Affordable Housing Covenants.
Work collaboratively with Resident Services staff.
Design, implement, and manage resident programs, ensuring their ongoing success.

Availability to work some evenings, weekends, and occasional holidays is required. Regular attendance and active participation in company functions and events are also expected.
Ability to remain calm in emergency situations.

Participate in all inspections, including SHRA, CTCAC, Fair Housing, Tax Credit, HUD, TCAC, HCD, CFHA, HOME, USDA, RD, etc.

Responsible for ensuring compliance with regulations and possessing a thorough understanding of LIHTC and HUD programs.
MINIMUM

QUALIFICATIONS:

At least three years of experience in property management.

Strong verbal and written communication skills are essential, along with a hands-on management approach and a comprehensive understanding of affordable housing and California Landlord Tenant Laws.

Ability to draft and interpret financial budgets, reports, and correspondence.
Valid Driver's License.
Pass a background check.
PREFERRED

QUALIFICATIONS:

Ability to communicate in a second language, preferably Spanish.
ARM, CPM, or CAM certification is highly preferred.
Familiarity with various computerized platforms.
Knowledge of Yardi is highly preferred.

PHYSICAL DEMANDS:


The physical demands outlined are representative of those required to successfully perform the essential functions of this role.

Must be capable of extensive standing, driving, walking, and climbing.

Ability to sit or stand and work with hands and arms for at least eight (8) hours per day and five (5) days a week.

Interpret and follow a variety of instructions and procedures provided in English – whether written, oral, diagrammatic, or scheduled.
Work effectively under pressure with changing and ambiguous priorities.

Auditory and visual skills – Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Continuous physical activity includes frequent walking, standing, twisting, sitting, bending, lifting, reaching, kneeling, stooping, crawling, wiping, climbing, and occasionally pushing and pulling items weighing up to 30 pounds for distances of up to 20 feet.
