Job Overview:
The Client Relations Specialist will manage all facets of account servicing, which includes but is not limited to order management, invoicing, inventory oversight, return processing, logistics coordination, and the administration of daily operations within the Operations Department. This role also involves assisting the Operations Manager with end-of-month closing activities.
Key Responsibilities:
1. Supervise inventory and logistics on a regional scale, focusing on stock optimization and demand forecasting to ensure appropriate inventory levels are maintained through diligent tracking and monitoring using the internal order management system.
2. Strategically plan and manage material demands and logistics processes for the branch, developing stock optimization strategies aligned with Doka's overarching business objectives.
3. Oversee customer account management and the order process, which includes order placement, entry, follow-up, price validation, and product inquiries, utilizing an internal order management system.
4. Engage with customers and sales personnel regarding product availability, delivery timelines, order modifications, and status updates through various communication channels in a dynamic environment.
5. Efficiently handle a high volume of inquiries and resolve issues promptly, ensuring effective communication regarding any factors impacting order status.
6. Accurately process pricing, order entry, billing, and credit requests in a timely manner.
7. Identify and investigate any discrepancies within the order management system, proposing solutions and implementing corrective actions immediately.
8. Manage back-order processes to ensure timely fulfillment.
9. Monitor inventory levels and notify logistics and operations teams to initiate procurement and equipment transfer processes as necessary.
10. Review order confirmations to ensure accurate billing.
11. Consistently provide accurate pricing information for custom items to both customers and sales representatives.
12. Ensure all services are billed to the customer in accordance with contractual terms and/or purchase orders.
Additional Responsibilities:
Perform other duties or projects as assigned, including participation in company committees or teams. Ensure adherence to safe working practices and maintain a safe working environment. Comply with all corporate policies and business practices. Actively engage in facility and equipment management meetings as required.
