Position Title: Patient Services Specialist II - Pediatric Cardiology Lab

Essential Qualifications:
Bachelor's degree with a minimum of one year of relevant experience or a High School diploma with three years of clerical or customer service expertise.

Role Overview:
The Patient Services Specialist II possesses advanced skills in patient services and excels in independently fostering a positive patient experience. This role is pivotal in consistently surpassing expectations in customer service and patient care by orchestrating clerical and medical functions within a healthcare team, managing patient registration processes, and facilitating access to UTMB services for both new and returning patients.

Key Responsibilities:
  • Serve as a team leader, providing guidance and support to peers.
  • Effectively triage and resolve issues as they arise.
  • Understand and optimize clinic workflow to meet patient needs efficiently.
  • Deliver exceptional customer service in all interactions with both internal and external stakeholders.
  • Engage professionally and knowledgeably with patients, physicians, referral sources, and the healthcare team.
  • Ensure accurate and prompt responses to all incoming calls, maintaining high standards of customer service.
  • Document calls and triage patient needs appropriately to ensure satisfaction and safety.
  • Act as a patient advocate, collaborating with various departments to achieve shared objectives.
  • Uphold patient confidentiality in all communications and information handling.
  • Address patient concerns, facilitate service recovery, and escalate issues when necessary.
  • Implement clinical policies to schedule appointments effectively.
  • Coordinate financial counseling for day surgery procedures.
  • Conduct reminder calls to patients regarding their scheduled appointments.
  • Educate patients and responsible parties about the billing process and financial obligations, including third-party benefits.
  • Provide cost estimates for out-of-pocket expenses to patients.
  • Assist patients with inquiries about unpaid bills.
  • Secure future appointments during service visits for follow-ups, referrals, and ancillary services.
  • Prepare patient documentation and charts for visits.
  • Accurately process all collected payments and manage financial transactions.
  • Verify patient eligibility and pre-register patients by gathering necessary demographics and insurance information at each encounter.
  • Collect and document information required for third-party reimbursement.
  • Ensure compliance with Medicare and other third-party coverage requirements.
  • Communicate effectively with patients, referral sources, and clinical staff regarding access or authorization challenges.
  • Perform additional related duties as assigned.
  • Stay informed by reading all relevant communications and announcements related to job responsibilities.
  • Complete annual competency-based training and assessments successfully.
  • Prioritize and execute all tasks accurately and efficiently.
  • Adhere to established internal controls within the department.
  • Secure confidential information and financial records when away from the workstation.
  • Participate in team meetings and activities, supporting the overall goals and philosophy of the department.

Compensation:
Salary will be commensurate with experience or as discussed and approved by the hiring authority.

Work Schedule:
This position requires on-site presence, Monday through Friday, from 8 AM to 5 PM, with occasional additional hours as needed.
