Job Overview

Position Summary

Provide comprehensive administrative assistance to the Director of Live Production and the associated department. Execute various office tasks and related services as required.

Key Responsibilities

PROJECT MANAGEMENT:

  • Support the management of Live Production task lists and ensure timely completion of actions.
  • Document meeting minutes effectively.
  • Compile all submissions from the Live Production request form.

BUDGET MANAGEMENT:

  • Assist in coordinating the departmental budget under the guidance of the Director of Live Production.
  • Handle the collection and deposit of funds, monthly reconciliation of procurement statements, and the creation of purchase orders or check requests as necessary.

CALENDAR MANAGEMENT:

  • Maintain an organized calendar system for the Production Department and the Director, ensuring all relevant information is accessible.
  • Communicate childcare requirements and facility needs for events to the childcare team well in advance.

SPACE COORDINATION:

  • Manage room reservations for departmental events and rehearsals requiring live production support.

MEETING PARTICIPATION:

  • Engage in team meetings, production meetings, and other relevant gatherings as required.

DREAM TEAM MANAGEMENT:

  • Oversee the scheduling of the Dream Team for all services and events.
  • Facilitate the GrowTrack interview process for new Dream Team members and ensure accurate data entry into management systems.
  • Connect with potential Dream Team members during designated breakout sessions.
  • Send appreciation notes to participants of the breakout sessions.
  • Monitor the progress of prospects throughout the GrowTrack process.
  • Provide a welcoming experience for new Dream Team members.
  • Track member transitions from training to regular assignments.
  • Develop a serving calendar that schedules activities a month in advance.
  • Offer assistance to Dream Team members with inquiries.
  • Follow up with members who frequently decline or request breaks from serving.

GENERAL OFFICE FUNCTIONS:

  • Prepare documents using software such as Microsoft Word, Excel, Publisher, and Project.
  • Manage correspondence, phone communications, scheduling, and supply orders.
  • Draft letters and ensure timely mailing of correspondence.
  • Assist the Director with calendar management and appointment scheduling.
  • Support the organization of physical and electronic files.
  • Help manage travel arrangements for the Director.

EVENT PRODUCTION:

  • Serve as the producer for events at the church and related conferences.
  • Maintain up-to-date run sheets for all events.

ADDITIONAL RESPONSIBILITIES: Perform other duties as assigned.

Qualifications:

  • Familiarity with modern office practices, filing systems, and office equipment.
  • Proficient in Microsoft Office applications and capable of learning new software.
  • Ability to operate electronic office equipment efficiently.
  • Effective communication skills, both verbal and written.
  • Competence in taking dictation and transcribing various materials accurately.
  • Ability to perform clerical tasks with precision and minimal supervision.
  • Exhibit integrity, responsibility, and punctuality.
  • Establish and maintain positive working relationships with colleagues and the public.
  • Willingness to undertake additional related duties as required.
