Role Summary:
The Bilingual Bookkeeping Specialist is responsible for managing payroll information for employees, ensuring that all timesheets are accurate and that payments are processed punctually. This role encompasses comprehensive payroll management, along with responsibilities related to tracking ACA compliance and coordinating H2B visa support.
Key Responsibilities:
- Perform bookkeeping tasks, including maintaining the General Ledger (GL).
- Identify issues, gather relevant data, and formulate valid conclusions.
- Process and maintain precise payroll records for employees using ADP.
- Calculate and input payroll information, including hours worked, overtime, bonuses, and deductions.
- Ensure adherence to federal, state, and local payroll regulations.
- Generate and distribute payroll reports to management.
- Resolve payroll discrepancies and address any issues or errors.
- Assist with year-end payroll processes and reporting.
- Stay informed about changes in payroll laws and regulations.
- Serve as a backup contact for HR inquiries.
- Manage 401k contributions and Workers Compensation premiums.
- Analyze program data and create reports regarding H2B activities and expenses.
- Address inquiries related to lodging and supply runs.
- Handle Accounts Payable tasks.
- Organize and monitor all travel arrangements.
- Maintain electronic employee records.
Required Skills & Qualifications:
- Proficient in Microsoft Office Suite, especially Excel.
- At least 2 years of experience in a Payroll Specialist role or similar.
- High school diploma or GED is required.
- Proficiency in ADP is essential.
- Strong understanding of general ledger reconciliation.
- Skilled in 10-key typing and technical accounting principles.
- Familiarity with payroll software such as Paychex or PeopleSoft.
- Knowledge of debits, credits, and double-entry bookkeeping.
- Aptitude for analyzing and interpreting complex payroll data.
- Experience with journal entries and general ledger accounting.
- Bilingual proficiency in Spanish and English is mandatory, with the ability to effectively communicate both verbally and in writing.
Work Schedule:
Monday - Friday, 8:00 AM - 5:00 PM
