The Office Specialist plays a crucial role in managing daily office operations, executing a range of clerical tasks, alongside some accounting and human resources responsibilities, while ensuring exceptional customer service.
- Handle incoming customer inquiries and direct calls to the relevant department.
- Conduct initial intake for new customers, entering essential information and forwarding it to the appropriate sales representative.
- Address customer account and billing inquiries.- Reach out to clients regarding invalid payments and funding sources.
Accounting Duties
- Process customer payments and complete daily bank deposits.
- Manage vendor invoices, facilitating payments via credit card or submitting requests to the Corporate Office as necessary.
- Monitor overdue accounts and contact customers for collections, escalating to a collections agency when required.
- Execute account write-offs and terminations as needed.
- Communicate with the District Manager regarding the completion of tasks outlined in the Daily Accounting Checklist.
- Review payroll and make necessary adjustments.
- Maintain petty cash records.
Human Resources Functions
- Oversee the complete hiring and onboarding process for new hires, including background checks, scheduling physical and drug screenings, entering employee data into the HRIS, and completing new hire documentation.
- Process monthly employee changes, including pay rate and status adjustments.
- Manage the termination process for departing employees.
- Handle Workers' Compensation and Auto Insurance claims.
Office Management Tasks
- Complete monthly orders for warehouse and office supplies.
- Order business cards as needed.
Qualifications
- High School Diploma or equivalent required.
- Strong customer service skills are essential.
- Proficiency in Microsoft Office Suite (Excel, Word, and Outlook) is necessary.
- Excellent organizational skills with the ability to multitask and prioritize effectively.
- Attention to detail is critical; accuracy in work is highly valued.
- Strong communication skills, both verbal and written, are required.
- Ability to work independently as well as collaboratively within a team.
Grooming Policy Compliance
- Adherence to Cook's Grooming policy is required: tattoos must be covered at all times, and facial hair should not exceed 1/2 inch in length.
Male employees (uniformed and non-uniformed) are prohibited from wearing visible earrings or other piercings. Women may wear no more than two pairs of earrings.
Hairstyles must not interfere with the proper fit of company uniforms or safety gear.This position is primarily office-based and may involve direct customer interaction. It requires the ability to sit at a computer for extended periods and may involve light lifting and filing tasks. Flexibility for occasional weekend and evening work may be necessary.
