Tufts University is seeking an experienced Financial Administrator/Bookkeeper to join our team.

Job Summary:

The Financial Administrator/Bookkeeper will be responsible for managing the administration of financial activities, including invoicing, paying expenses, monitoring grant payments, managing budgets, and reporting.

Key Responsibilities:
  • Financial Negotiations and Resolution:
    • Initiates and leads discussions with sponsors to negotiate contracts, set payment terms, and address discrepancies and issues.
    • Investigates and works with sponsors to resolve financial disputes.
    • Reconciles monthly financial reports for each project and reports in management meetings.
    • Reconciles QER reports.
  • Grants Management:
    • Works with Principle Investigators to manage project milestones and forward status to Sponsored Accounting for billing purposes.
    • Prepares and presents financial reports, including budgets, historical statements, and forecasts.
    • Prepares budgets for grant projects and manages labor distribution for individual staff.
    • Monitors CSDD's financial performance.
    • Maintains grant projects data for reporting to the Medical School.
    • Processes grant awards using the University financial systems.
  • Staff Related Duties:
    • Provides training to department staff on CSDD and Tufts online systems, financial, and grant management.
    • Assists with onboarding of new department staff.
    • Monitors and reports staff financial history.
Requirements:
  • 3+ years of related experience in bookkeeping and accounting.
  • Advanced skills and experience using Microsoft Excel and QuickBooks Online Version to perform basic accounting and financial tracking and reporting.
  • Comfort level handling multiple projects simultaneously.
  • Very organized and detail-oriented.
  • Must have experience managing federal grants.
  • Strong data entry skills.
Preferred Qualifications:
  • Experience with other Microsoft Office Suite tools (Word, PowerPoint, etc.) and virtual meeting platforms.
  • Strong organizational and follow-through skills.
  • Experience working in an academic institution setting entering, processing, and tracking financial data and information.
