Job Overview

Position Title: Dispatch Manager

Role Summary:

The Dispatch Manager plays a crucial role in ensuring the efficient delivery of customer freight and overseeing the daily operations of their designated fleet. This leadership position reports to either the Operations Manager or the Terminal Manager, depending on the scale of the operation. The Dispatch Manager will engage in identifying challenges, recognizing solutions, and implementing systems to enhance the experience of our drivers and the quality of our services. This role is pivotal in cultivating a collaborative culture that aligns with the organization's mission and core values.

Work Schedule:

Tuesday to Saturday

Supervisory Duties:

Manage both direct and indirect reports, including Professional Drivers.

Key Responsibilities:

Driver Engagement

  • Ensure high levels of driver satisfaction for both new and experienced drivers by:
  • Onboarding new drivers effectively through a structured 12-week process.
  • Regularly assessing driver performance through scorecards to meet performance and income targets.
  • Reviewing driver manifests for accuracy in pay and workload distribution.
  • Advocating for drivers in relation to operational plans.
  • Communicating policy and schedule changes clearly to the fleet.
  • Participating in driver mentoring and appreciation initiatives as directed by the Terminal Manager.
  • Conducting bi-annual driver ride-alongs and participating in routine pre-trip inspections.
  • Coaching drivers on productivity, customer service, attendance, and compliance with company policies. Collaborate with HR and the Terminal Manager to develop performance improvement plans as necessary.
  • Confirming driver assignments and providing essential information for task completion, including special load requirements.

Safety Management

  • Promote a safety-first culture by proactively addressing safety concerns and communicating safety standards to all drivers.
  • Ensure compliance with DOT regulations regarding hours of service and driver fitness prior to dispatch. Assist in coordinating compliance activities, including scheduling physicals and submitting necessary documentation.

Customer Relations

  • Monitor driver progress throughout shifts to guarantee timely dispatch and delivery of freight, addressing any delays or issues promptly.
  • Respond to customer inquiries and concerns as they arise, escalating issues requiring higher-level intervention to the Operations Manager or Terminal Manager.

Terminal Operations

  • Effectively manage fleet dispatching using established procedures for real-time freight and driver management, ensuring data accuracy.
  • Identify and document assessorial charges for detention, storage, rescheduled deliveries, and other related costs.
  • Collect and review driver manifests and other documentation necessary for driver payment and customer invoicing upon shift completion.
  • Analyze revenue per truck daily and conduct quarterly fleet performance evaluations with the Terminal Manager and Operations Manager to identify improvement opportunities.

Asset Management

  • Maintain, track, and report on equipment levels daily across all customer locations, requesting adjustments as needed for optimal utilization.
  • Conduct periodic inspections of company equipment to identify maintenance issues and participate in regular pre-trip inspections with drivers.

Leadership Development

  • Oversee the training of drivers to ensure all team members are equipped with the necessary skills for their roles. Provide coaching for performance improvement and notify management when corrective actions are required.

Qualifications:

  • Minimum of 2 years of industry experience, with at least 1 year in fleet management preferred.
  • Proficiency in computer applications, particularly Microsoft Office.
  • Experience with Transportation Management Systems (TMS) is desirable; TMW preferred.
  • Familiarity with DOT, OSHA, and related safety regulations.
  • Strong customer service, problem-solving, and decision-making abilities.
  • Reliability and punctuality, with the ability to work flexible hours as required by the business.
  • Capability to develop a comprehensive understanding of all terminal operations.
  • Travel may be necessary based on business needs.
  • Physical requirements include frequent sitting, standing, walking, talking, hearing, operating a computer keyboard, and occasional lifting of up to 10 pounds.
