Key Responsibilities:
  • Implement and uphold fleet policies and procedures, ensuring compliance among all drivers and fleet personnel.
  • Perform regular audits of the fleet to verify adherence to safety protocols, vehicle conditions, and proper usage.
  • Analyze fuel consumption and efficiency, identifying opportunities for cost reduction and environmental sustainability.
  • Develop emergency response strategies for fleet-related incidents, ensuring prompt and effective measures to minimize disruptions.
  • Establish and manage a preventive maintenance schedule for facilities, conducting routine inspections to avert breakdowns and prolong equipment lifespan.
  • Coordinate timely vehicle pickups and deliveries, maintaining communication with drivers to address any scheduling challenges.
  • Maintain comprehensive vehicle records by organizing documents such as invoices, lease agreements, and registrations for easy access and compliance.
  • Collaborate with vendors for vehicle modifications, ensuring all customizations align with company branding and specifications.
  • Oversee vehicle registrations and compliance with state regulations, ensuring timely updates to avoid penalties.
  • Schedule and monitor regular vehicle maintenance, keeping detailed service logs and proactively addressing mechanical issues.
  • Manage the fleet driver roster, assigning vehicles and ensuring all drivers are well-informed of company vehicle usage policies.
  • Conduct vehicle activity assessments, providing reports to management and using insights to recommend improvements.
  • Perform safety inspections and risk assessments for all facilities, implementing measures to mitigate hazards and ensure a safe work environment.
  • Order and manage equipment for remote employees, ensuring they have the necessary tools to perform their roles effectively.
  • Facilitate the return of defective equipment to vendors for repairs or replacements, maintaining an accurate inventory of all assets.
  • Handle maintenance and repairs across all facilities, ensuring compliance with safety standards and promptly addressing any issues.
  • Oversee landscaping efforts, coordinating with service providers to maintain an attractive and well-kept exterior.
  • Other responsibilities as assigned.
Qualifications:
  • Bachelor's degree or equivalent combination of education and experience.
  • Experience in fleet and facilities management with a diverse range of responsibilities.
  • Strong organizational skills and the ability to manage multiple tasks effectively.
  • Excellent communication skills, both written and verbal, for effective collaboration.
  • Proficiency in tools such as Geotab, Smartsheet, or similar for data tracking and reporting.
  • Advanced skills in Office 365, including Word, Excel, PowerPoint, and Outlook.
  • Ability to coordinate with various departments and vendors for seamless operations.
  • Strong problem-solving abilities and attention to detail for maintaining operational efficiency.
  • Knowledge of safety regulations and preventive maintenance strategies.
