POSITION SUMMARY:
As an integral part of the Guest Services team, the Administrative Support Specialist will provide essential clerical assistance to the management team. Responsibilities include handling incoming calls, managing emails, generating various reports and spreadsheets, preparing check-in materials, and performing reception duties for the executive offices. Additionally, support will be provided to the Front Desk team as necessary.

KEY RESPONSIBILITIES:
  • Oversee office supplies and maintain departmental inventory.
  • Organize, scan, and file daily paperwork for the department.
  • Manage phone communications and take comprehensive messages for follow-up.
  • Maintain weekly and monthly spreadsheets, including inventory tracking.
  • Handle invoice coding and related tasks.
  • Assist with special projects as directed.
  • Respond to NAVIS calls to facilitate reservation bookings and address guest inquiries.
  • Execute additional duties as assigned by the department Manager and Director.
QUALIFICATIONS:
  • High School diploma or GED required.
  • Previous experience in a Front Desk role is advantageous.
  • Possess a positive attitude and exceptional communication skills.
  • Ability to maintain professionalism under pressure and manage multiple tasks effectively.
  • Skilled in conflict resolution and fostering a collaborative environment.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Willingness to learn new systems such as NAVIS and IQWare.
  • Demonstrated hospitality skills.
PHYSICAL REQUIREMENTS:
  • Capability to work at a desk on a computer for the majority of the shift.
  • Ability to stand or walk as required.
  • Must be able to lift or move items weighing up to 20 lbs.
COMPENSATION: $15.00 per hour
