Overview

The Engineering Operations Coordinator plays a crucial role in supporting the engineering department under the guidance of the Senior Director, Engineering. This position is integral in managing labor schedules, overseeing work orders, facilitating preventative maintenance, and handling procurement activities. Additionally, the coordinator will be tasked with maintaining inventory levels, managing budget tracking, and generating necessary reports.

Key Responsibilities

  • Assist in the daily operational management of the facility, including oversight of life-safety programs, alarm systems, and general upkeep.
  • Develop and manage daily and weekly staff work schedules.
  • Maintain comprehensive records of work orders, proposals, and departmental documentation. Create and verify vendor files, ensuring accuracy in paperwork submitted by vendors. Provide training to vendors on work order and billing processes.
  • Address vendor inquiries regarding payments, onboarding new vendors, coordinating delivery schedules, and managing drop-off logistics.
  • Generate spreadsheets and reports detailing facility-related expenses and equipment as required.
  • Allocate work orders to technicians, subcontractors, and vendors. Communicate work orders effectively to technicians and assist in troubleshooting issues.
  • Provide updates on the status of open and closed work orders, coordinating with the relevant technician or vendor. Conduct daily facility inspections and quarterly assessments.
  • Procure maintenance supplies, schedule routine check-ups, and accompany technicians as necessary.
  • Offer engineering support as required.
  • Be available for on-call duties as a backup to the Chief Engineer.
  • Perform additional tasks as assigned.

Qualifications

  • High School diploma or GED equivalent is required.
  • Strong verbal and written communication skills in English.
  • A minimum of 2 years of relevant experience is preferred.
  • Intermediate proficiency in Microsoft Outlook and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Prior experience in an engineering, facilities, or technical team setting is advantageous.
  • Familiarity with maintenance practices is essential.
  • Demonstrated administrative capabilities.
  • Experience with CMMS software is a plus.
  • Proven ability to manage multiple tasks efficiently and effectively.
  • Experience in an office environment is beneficial.
  • Flexibility to work varied hours, including nights, weekends, and holidays.

Preferred Qualifications

  • Associate's or Bachelor's Degree in a relevant field.
  • Bilingual proficiency in English and Spanish is desirable.
