Overview

Under the supervision of the Senior Director of Engineering, the Engineering Operations Coordinator plays a vital role in assisting the engineering department with labor scheduling, work order management, preventive maintenance, and procurement activities. This position is also tasked with overseeing inventory levels, managing budget tracking, and generating essential reports.

Key Responsibilities

  • Assist in the daily operational management of the facility, including oversight of life-safety programs, alarm systems, and general maintenance tasks.
  • Develop daily and weekly staffing schedules for the engineering team.
  • Maintain comprehensive records for work orders, proposals, and departmental documentation. Establish vendor files and ensure the accuracy of paperwork submitted by vendors. Provide training to vendors on work order and billing processes.
  • Address vendor inquiries related to payments, onboarding new vendors, coordinating delivery schedules, and managing drop-off logistics.
  • Create and maintain spreadsheets and reports detailing facility-related expenses and equipment as required.
  • Allocate work orders to technicians, subcontractors, and vendors. Communicate work order details to technicians and assist in troubleshooting issues.
  • Generate reports on both open and closed work orders, verifying status with the relevant technician or vendor. Conduct daily facility inspections and quarterly assessments.
  • Procure maintenance supplies, schedule service appointments, and accompany technicians as necessary.
  • Provide engineering support as required.
  • Be available for on-call duties as a backup to the Chief Engineer.
  • Perform additional tasks as assigned.

Preferred Qualifications

  • High School diploma or GED equivalent is mandatory.
  • Strong verbal and written communication skills in English.
  • A minimum of 2 years of relevant experience is required.
  • Proficient in Microsoft Outlook and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience working with engineering, facilities, or technical teams is advantageous.
  • Familiarity with maintenance practices is essential.
  • Administrative skills are necessary.
  • Experience with CMMS software is a plus.
  • Proven ability to manage multiple tasks efficiently.
  • Experience in an office environment is preferred.
  • Flexibility to work varied hours, including nights, weekends, and holidays.

Desired Attributes

  • Associate's or Bachelor's Degree in a relevant field.
  • Bilingual proficiency in English and Spanish is preferred.

  • Must effectively manage multiple demands from various stakeholders and interact with the public and staff.
