As an Office Support Specialist at VMD Corp, you will play a crucial role in facilitating the operational success of our team.

Your responsibilities will encompass a variety of administrative functions aimed at supporting the Project Manager(s) and executive personnel.


Key Responsibilities:

1. **Travel Coordination:** Assist in managing staff travel arrangements and requests.

2. **Communication Management:** Post and disseminate updates and notifications to all personnel within the organization.

3. **Daily Operations:** Collect and manage paperwork, lost and found items, financial transactions, recyclable materials, and ensure timely delivery of supplies as needed.

4. **Equipment Tracking:** Monitor and maintain records of all Government Furnished Equipment (GFE) such as keys, radios, and headsets.

5. **Maintenance Coordination:** Oversee the scheduling of maintenance and repairs for office equipment.

6. **Database Management:** Serve as the Administrative Coordinator for the Property / Lost & Found Database, which includes tracking lost items, responding to inquiries, coordinating the return of items, and managing end-of-month donations or disposals.

7. **Customer Service Liaison:** Act as the point of contact for passenger claims, updating databases, assisting with investigations, and facilitating resolutions.

8. **Financial Reconciliation:** Manage and reconcile expenditures related to parking and adjust records for new hires or departing employees.

9. **Procurement Management:** Handle purchasing requests, track orders, resolve vendor issues, and maintain inventory supplies.

10. **Expense Reporting:** Record and process employee travel expenses, ensuring all documentation is submitted for reimbursement.

11. **Employee Records Maintenance:** Keep master employee information and seniority rosters up to date.

12. **Human Capital Support:** Assist in distributing employee materials and required documentation.

13. **Communication Coordination:** Facilitate communication between management and Corporate Human Capital regarding leave tracking and necessary documentation.

14. **SharePoint Management:** Maintain the employee SharePoint site, ensuring accurate posting and removal of documents as directed by management.
